We are looking for a proactive Tenancy Consultant to manage tenancy swaps and rent reviews from start to finish, ensuring a smooth and compliant process for landlords and tenants. The role involves maintaining clear communication, chasing documentation, carrying out ID checks and compliance tasks, producing tenancy agreements, and handling landlord changes or ownership transfers. You will work closely with lettings and property management teams to progress cases efficiently, while delivering accurate administration, strong relationship management, and excellent customer service throughout.
Key Responsibilities
- Tenancy Swap process from start to finish.
- The new Rent review process from start to finish.
- Initiate and maintain clear communication with Landlords and Tenants.
- Compliance - ID checks and property documentation that is required.
- Follow up promptly on any outstanding documents or responses from Landlords and Tenants to avoid delays.
- Build and maintain strong effective working relationships with our lettings team and the department.
- Adhere to department minimum standards relating to time management, workload and file accuracy.
- Handle incoming calls and emails professionally, maintaining smooth communication within the team and with external contacts.
- Progressing replacement tenancies in a timely manner ensuring documentation is produced to a high standard and accuracy and completed within required time frames.
- This involves producing tenancy agreements and using the system provided.
- Maintain and develop relevant compliance legislative Knowledge.
- Compiling detailed and informative emails to Landlords and Tenants and building relationships with them.
- Collaborate effectively with Lettings, Property Management, and external contractors to support a seamless renewal process.
- Administrative tasks involved within a landlord changing, for example the property has been sold or transferral of ownership has occurred.
- Potential for Managing a portfolio of renewals/annual rent reviews.
