Camp Good Days is dedicated to improving the quality of life for children, adults, and families, whose lives have been touched by cancer or sickle cell anemia. We are seeking a Special Events Coordinator to support the success of the region's fundraising events.
The Special Events Coordinator supports the planning, coordination, and execution of fundraising events in the Rochester region. Working collaboratively with staff, volunteers, committees, and vendors, this role helps ensure the successful delivery of events that raise critical funds and increase community awareness for Camp Good Days' programs and services. The Coordinator plays a key role in managing event logistics, timelines, materials, and donor engagement.
Responsibilities- Coordinate administrative and operational support for regional special events, including donor research, sponsor solicitation tracking, and event documentation, while exercising discretion, confidentiality, and sound judgment.
- Represent Camp Good Days in a professional and positive manner when working with donors, sponsors, volunteers, vendors, and community partners.
- Provide staff leadership and support to event chairs and event-related committees, including maintaining records, preparing meeting agendas and minutes, managing correspondence, and coordinating follow-up tasks.
- Coordinate the planning and execution of fundraising events, including timelines, vendor relationships, logistics, budgets, and on-site event operations. Assist with event program coordination as needed.
- Collaborate with the Communications and Marketing team to develop and manage event-related materials, including external communications, printed materials (such as signage, programs, nametags, and bid sheets), and event scripts.
- Actively manage special event social media pages, including content creation and scheduling, with guidance from the Digital Marketing Manager.
- Maintain and update detailed spreadsheets and project management tools for all special event timelines, deliverables, and post-event follow-up.
- Support on-site event operations, including preparation, set-up, event execution, volunteer coordination, and teardown, as directed.
- Assist with direct fundraising components related to special events, including managing third-party fundraisers, coordinating silent auctions, tracking day-of-event donations, and supporting sponsor stewardship.
- Build and maintain a portfolio of event sponsors, assisting with outreach, acknowledgements, and ongoing relationship management.
- Perform additional duties as assigned to support the overall success of the Special Events and Fundraising department.
- 1–3 years of experience coordinating special events, preferably in a nonprofit or fundraising environment. Experience with donor relations, sponsorships, or event-based fundraising preferred. Corporate or business-to-business sales experience may be considered in place of fundraising experience.
- Strong organizational and time-management skills with the ability to manage multiple event timelines simultaneously.
- Excellent written and verbal communication skills.
- Ability to work effectively with diverse groups including volunteers, donors, committees, and vendors.
- Detail-oriented, proactive, and adaptable in a fast-paced event environment.
- Proficient in Microsoft Office; experience with spreadsheets and event tracking tools required.
- Team-oriented with a commitment to collaboration and Camp Good Days' mission.
- Valid driver's license required; ability to travel locally as needed for events and meetings.
- Ability to lift and carry up to 20 pounds in support of event setup and materials.
Typically Monday–Friday, 9:00 a.m.–5:00 p.m.; occasional evenings and weekends required to support special events and committee meetings.
Pay$20.00 - $25.00 per hour; non-exempt position.
