We are seeking a proactive department coordinator to join our global Academic marketing team in a varied and rewarding role that provides crucial administrative support across marketing operations, finance, events, and team wellbeing. This is a great opportunity for someone who is naturally organised, values teamwork, and takes pride in keeping things running smoothly.
About The Role
You’ll work closely with the Senior Marketing Department Coordinator to provide essential administrative and marketing support across the global Academic marketing department. You’ll be involved in a wide range of activities, including:
- Department administration: managing organisation charts, mailing lists, & departmental meetings, proofreading reports & campaigns, and handling ad-hoc queries.
- Finance & compliance: advising on invoicing and supplier onboarding (SAP, OneTrust, Ironclad, VNDLY), creating and tracking purchase orders, and resolving payment queries. You’ll contribute to work instructions, assist with training, and ensure compliance with financial and legal requirements.
- Staff inductions & wellbeing: coordinating the department’s induction programme with a focus on wellbeing, including scheduling welcome meetings, training sessions, and creating welcome packs.
- Events: supporting the Senior Marketing Manager with exhibit stand coordination at major book fairs, managing point‑of‑sale equipment, and assisting with internal and external event planning and logistics.
The successful candidate’s working days would ideally include Monday to Thursday; however, we encourage applications from candidates interested in discussing alternative arrangements. This position has been classified as a hybrid role, requiring the selected candidate to typically spend 40-60% of their time collaborating and connecting face‑to‑face at their dedicated location. Aside from our hybrid principles, other flexible working requests will be considered from the first day of employment, including other work arrangements should you require adjustments due to a disability or long‑term health condition.
