Role Purpose: To deliver high-quality membership operations and donor stewardship. The post-holder ensures members and supporters receive timely, accurate and positive interactions with the charity, manages core fundraising products, and maintains data and reporting systems that underpin stable income and supporter satisfaction. This role reflects responsibilities across membership management, supporter care, and data accuracy.

Key Responsibilities

  • Membership Management & Retention
    • Maintain accurate and GDPR-compliant records for approximately 2,500 members.
    • Handle membership enquiries (email/phone/post), including renewals, cancellations, payment issues and duplicate records.
    • Monitor daily retention reports; follow up with lapsed or pending members to encourage renewal.
    • Produce and send membership cards and essential membership communications.
    • Resolve data inconsistencies, process Gift Aid updates and ensure CRM accuracy.
    • Manage the process for memorial and sponsorship products.
    • Liaise with donors from initial enquiry through to fulfilment.
    • Process payments and coordinate inscriptions/materials with suppliers and warden teams.
    • Maintain accurate donor records and issue updates at key milestones.
    • Ensure memorial and sponsorship income is correctly recorded and reconciled.
  • Data, Reporting & Administration
    • Produce daily and monthly CRM reports to support membership retention and income monitoring.
    • Maintain accurate data for membership, donations and sponsorships.
    • Respond professionally and promptly to general enquiries (email and telephone).
    • Provide light-touch administrative support for key organisational events (AGM mailings, invitations etc).
    • Assist with office tasks such as printing, scanning and postage as needed.

Person Specification

  • Experience in customer service, membership administration or supporter care.
  • Strong written and verbal communication skills.
  • Excellent organisational skills and attention to detail.
  • Ability to prioritise, take initiative and manage workload independently.
  • Experience handling payments and sensitive donor information.
  • Competent in CRM systems, Microsoft Office and general digital tools.
  • Experience in fundraising or donor stewardship.
  • Ability to create simple marketing materials (e.g. Canva).
  • Understanding of Gift Aid and charity data compliance.
