The Role


We are seeking an energetic, exceptionally organised Office Administrator & PA to keep our Cambridge office running smoothly and provide high-quality support to the CEO and leadership team. This varied, hands-on role suits someone who enjoys helping others, notices what needs doing and takes ownership without waiting to be asked.
You will bring a cheerful, can-do attitude, strong attention to detail and outstanding digital capability. Confidence with Microsoft 365 and modern AI tools is essential, together with curiosity about using technology and automation to make administrative work simpler and more efficient.

Key Responsibilities

Office Administration & Management

  • Take ownership of the smooth day-to-day running of the Cambridge office, keeping it organised, welcoming and well maintained.
  • Act as the central point of contact for office administration; manage supplies, deliveries, couriers and practical issues.
  • Liaise with building management, contractors and suppliers regarding facilities, maintenance and office services.
  • Prepare meeting rooms and provide a warm, professional reception for visitors, customers, partners and Board members.
  • Support company events, employee activities and internal initiatives, resolving tasks proactively as they arise.
  • Provide responsive and professional PA and administrative support to the CEO and leadership team.
  • Manage diaries and schedule meetings across locations and time zones, coordinating rooms, video conferencing, papers and actions.
  • Arrange domestic and international travel, including flights, accommodation, itineraries, ground transport and visas.
  • Support leadership and Board meetings, company events and offsites, including presentations, reports and meeting papers.
  • Track commitments, follow up actions and handle confidential or commercially sensitive information with discretion.

Digital, IT & Process Improvement

  • Use Microsoft 365 confidently, particularly Outlook, Word, PowerPoint, Excel, Teams and SharePoint.
  • Use generative AI responsibly for research, drafting, meeting summaries, information organisation and other appropriate tasks.
  • Create polished documents, presentations, spreadsheets, communications, trackers and digital filing systems.
  • Identify opportunities to automate routine work, simplify processes and reduce manual administration.
  • Learn unfamiliar systems quickly, solve straightforward digital problems and help colleagues use tools effectively.

Organisation & Relationships

  • Manage competing priorities, anticipate requirements and follow tasks through so that nothing falls between the cracks.
  • Respond positively when priorities change and coordinate effectively across teams and stakeholders.
  • Communicate clearly and professionally, building strong relationships with colleagues, suppliers and senior stakeholders.
  • Be a friendly, approachable and helpful presence who contributes to a collaborative office culture.

Candidate Profile

Experience

  • Experience in an office administration, office coordination, PA, team assistant, executive assistant or similar role.
  • Experience supporting senior managers and coordinating meetings, travel, events and office activities.
  • Demonstrable use of technology to organise work and improve administrative efficiency.
  • Experience in a technology, engineering or fast-paced professional environment would be beneficial; attitude and capability matter more than formal qualifications.
