We are working with a highly respected architecture and design studio to find an exceptional Executive Assistant to support the Managing Director, alongside providing ad-hoc support to a small group of Directors. This is an exciting newly created role within a dynamic practice, offering the opportunity to work at the heart of the business and play a key role in supporting senior leadership.
The Managing Director has an extremely busy schedule, so this role is perfect for someone who thrives in a fast-paced environment and enjoys being the person who keeps everything running smoothly. You’ll be a trusted right-hand, ensuring priorities are managed effectively and anticipating what’s needed before it’s asked. Alongside supporting the MD, you will also provide occasional support to a small group of four Directors.
The Role- Complex diary management, scheduling internal and external meetings
- Inbox management, prioritising and responding to emails where appropriate
- Acting as a gatekeeper, managing requests and communications
- Preparing meeting agendas and supporting with minute taking when required
- Coordinating travel arrangements including itineraries and accommodation
- Managing and submitting expenses
- Ensuring the MD is fully prepared for meetings with the relevant documentation
- Providing ad-hoc administrative support to four Directors
- Previous experience in a Senior PA or Executive Assistant role supporting senior leadership
- Someone comfortable working in a fast-paced and demanding environment
- Exceptional organisation and prioritisation skills
- A proactive approach with the ability to anticipate needs
- Excellent communication and interpersonal skills
- High levels of discretion and professionalism
- Highly organised and able to stay one step ahead, with excellent follow-through
