We are looking for a Crewing Operations Executive to support the end-to-end crewing operations for assigned vessels. This role will be responsible for crew planning, deployment, documentation, and coordination with internal stakeholders and manning offices to ensure smooth and compliant crew operations.
Key Responsibilities
- Crew Planning & Deployment
- Plan and coordinate crew changes, rotations, and assignments for assigned vessels
- Ensure timely deployment of seafarers in accordance with vessel schedules
- Monitor crew availability and maintain optimal manning levels
- Documentation & Compliance
- Ensure all crew certifications, licenses, and travel documents are valid and compliant with STCW, MLC, and company requirements
- Maintain accurate and up-to-date crew records in the system
- Liaise with manning offices to verify documentation and readiness of crew
- Operational Coordination
- Coordinate flight bookings, visas, medicals, and logistics for crew changes
- Communicate closely with vessels, agents, and internal departments on crew matters
- Handle crew sign-on/sign-off processes efficiently
- Crew Welfare & Support
- Address crew queries and provide timely support on operational and welfare matters
- Maintain effective communication with seafarers and their families when required
- Reporting & Administration
- Prepare reports on crew movements, planning, and manpower status
- Support payroll coordination and crew-related administrative tasks
- Assist in audits and ensure compliance with internal procedures
Requirements
- Diploma / Degree in Maritime Studies, Shipping, HR, or related field
- Minimum 2–3 years of experience in crewing / marine HR / shipping operations
- Good knowledge of STCW, MLC, and crewing processes
- Strong coordination and organizational skills
- Good communication skills and ability to work with multicultural teams
- Proficient in Microsoft Office (Excel, Word, Email)
Preferred Attributes
- Experience with crew management systems (e.g. Compass, SAP, or similar)
- Ability to work in a fast‑paced and dynamic environment
- Detail‑oriented with strong problem‑solving skills
