We are seeking a Data & Compliance Coordinator to join our Apprenticeships Data team — a detail‑driven professional who ensures the accuracy, integrity, and compliance of learner data across our apprenticeship provision.
You will work directly with our Data and Compliance Manager and play a key role in maintaining funding compliance, supporting audit readiness, and enabling smooth data reporting across delivery, quality, and finance teams.
Key Responsibilities
- Maintain and update learner and programme data within the Learner Management Information System (MIS).
- Conduct regular data quality checks and validations to ensure accuracy and completeness.
- Support the quality team with awarding body and End‑Point Assessment administration.
- Prepare and submit Individualised Learner Record (ILR) data, resolving errors prior to submission.
- Monitor compliance documentation and ensure audit‑ready records.
- Produce routine and ad‑hoc reports for internal stakeholders and managers.
- Collaborate with delivery, quality, and finance teams to ensure accurate data capture.
- Provide guidance to apprenticeship colleagues on data entry and compliance best practice.
- Uphold data protection standards and apprenticeship funding rules.
- Provide reports and update training on new funding rules and compliance changes.

- Zero ILR submission errors and positive audit outcomes.
- Consistent completion of scheduled data validation checks.

About You
- Exceptional attention to detail and organisational skills.
- Strong communication and collaboration abilities.
- Proven administrative experience with high data accuracy.
- Proficiency in Excel, PowerPoint, Word, and Outlook.
- Ability to manage multiple priorities and deadlines.
- Experience in Apprenticeship or Further Education data administration.
- Knowledge of DfE funding guidance and audit requirements.
- Familiarity with UK GDPR and data protection principles.

Salary & Benefits
Up to £28,000 dependant on experience, 25 Days Annual Leave, Calex Employee Benefits Packages (Inc Private GP and Healthcare Services, High Street Discounts, Discounted Gym Memberships and on Demand 24 Hour Wellbeing Service (Counselling and Advice), Life Assurance, Pension, optional private Healthcare cover.

Monday to Friday / 40 hours per week
Place of Work
You will primarily work from home but will be required to attend our offices in Slough / Abingdon regularly.
Pre-employment Checks
Calex will undertake the relevant/standard employment checks with any successful candidate. This includes contacting all nominated referees, as well as checking candidate ID, driving licence (if appropriate) and right to work in the UK. Some roles may also be subject to further pre-employment checks (confirmation will be provided through the recruitment process). The nature of this role may necessitate that we undertake a DBS check.
