LMS Support Specialist

We are currently seeking to recruit a LMS Support Specialist to join the LMS team on our Henry Ford Academy contract. This position is integral to the LMS team, providing essential support to the wider Operations and Learning & Development departments. The specialist will be responsible for the maintenance and optimisation of the learning platform, encompassing content structuring, release management, and system configuration. The primary objective is to enhance the user experience and strategically support the organisation's learning and development goals.

Key Responsibilities

  • Efficiently resolve system performance related inquiries, collaborating with and escalating to the learning platform provider as required.
  • Oversee and report on learning platform support requests, ensuring timely resolution through effective vendor collaboration.
  • Execute comprehensive testing of the LMS, meticulously documenting outcomes and implementing corrective actions for updates and new functionalities.
  • Administer automated system rules to ensure precision and efficiency in logic automation.
  • Deliver critical system and data administration support, including waitlist management, STARS account provisioning, and data cleansing, in partnership with Learning Performance and Business Intelligence teams.
  • Manage the user account lifecycle, including setup, modification, and merging, to maintain data integrity and system accuracy.
  • Proactively address inquiries from Learning Performance and other internal teams (e.g., via Freshdesk or email), identifying and resolving recurring issues to minimise support ticket volume.
  • Generate, analyse and distribute to stakeholders reports on LMS usage, course performance, completion rates and engagement levels to evaluate program effectiveness and identify areas for improvement.
  • Cultivate advanced expertise in learning platform architecture, data/content structure, reporting mechanisms and administration.
  • Develop and maintain comprehensive procedural documentation for all learning platform operations.
  • Assist the LMS Manager by addressing data inquiries, integrations with other system and contributing to system enhancement projects, ensuring optimal performance and functionality.
  • Offer expert consultation and guidance to team members on new platform functionalities, establishing internal procedures for ongoing reference.
  • Adhere to GDPR regulations, data security and privacy regulations.

Learning Content Set‑up & Release

  • Collaborate with instructional designers and subject matter experts to structure learning materials, set up activities, ensure logical and user‑friendly course or journey layouts, as well as maintain required changes.
  • Oversee the end‑to‑end content release process, ensuring accurate categorisation, coding and comprehensive documentation for audit readiness.
  • Support instructional designers with mandated quarterly content releases and subsequent system page updates within the learning platform.
  • Administer user groups within the learning platform to ensure precise content allocation and availability for target audiences.
  • Develop and manage system automation rules to optimise and sustain automated content allocation processes.
  • Test the functionality of new content builds, identifying and reporting any discrepancies or issues.

About You

  • Proven experience as an LMS Administrator or in a similar role managing online learning platforms.
  • Strong technical skills with a deep understanding of LMS platforms, configurations, integrations and maintenance.
  • Problem‑solving abilities and a proactive approach to identifying and resolving technical issues.
  • Excellent communication, interpersonal and collaboration skills, with the ability to provide clear technical support and work effectively with diverse teams and stakeholders.
  • Familiarity with e‑learning standards and formats such as SCORM, AICC and xAPI.
  • Experience with data analytics and reporting tools to derive insights from learning data.
  • Strong organisational skills and attention to detail, capable of managing multiple tasks and prioritising effectively.
  • Experience in learning platform migration would be advantageous.
  • Proven ability to maintain resilience and composure while working under pressure.
  • A strong appreciation for or passion for the Ford Brand.
  • Knowledge of the automotive industry is considered a plus.
  • Knowledge of web development languages and tools such as CSS, HTML, PHP, XML, SQL and JavaScript will be advantageous.
  • Understanding of accessibility guidelines (e.g., WCAG 2) for learning content will be advantageous.

Contract: Permanent / Full Time

Working Hours: Monday to Friday / 40 hours per week

Place of Work: Hybrid between home‑working and the Henry Ford Academy

Pre‑employment Checks: Calex will undertake the relevant/standard employment checks with any successful candidate. This includes contacting all nominated referees, as well as checking candidate ID, driving licence (if appropriate) and right to work in the UK. Some roles may also be subject to further pre‑employment checks (confirmation will be provided through the recruitment process). The nature of this role may necessitate that we undertake a DBS check.
