We are looking for a Construction Administrator to join our team in our Chiltern region. You will provide support to the construction team by carrying out general administration duties and acting as a conduit between the office and site to ensure all site operatives are fully updated on all relevant construction processes and procedures.

Main Accountabilities

  • Ensuring key information is prepared, coordinated & distributed to the construction team.
  • General administrative duties within the Construction Department and assisting site/office staff with enquiries, e.g., arrange meetings/book meeting rooms, stationary, issue of new site-set up packs to include H&S plans, etc.
  • Arrange and attend Site Managers’ meetings.
  • Ordering & distribution of corporate clothing (PPE).
  • Ordering & cancellation of telephone lines for site (via IT department).
  • Maintenance of Health & Safety Training matrix.
  • Arrange training for regional site-based staff & office staff where appropriate.
  • Send out notification of courses & course outline notes.
  • Book training facilities (in-house and external if required) and organise refreshments and catering.
  • Full responsibility for posting receipts/delivery notes onto the system.
  • Assist with on-site IT.
  • Covering reception when required.
  • Respond to invoice queries regarding invoices that have not been matched and passed.
  • Liaise with site managers to check and chase for receipts.
  • Identify ongoing receipting issues, investigate and implement process improvement.
  • Liaise with suppliers/accounts/commercial departments.
  • Monitor receipt of delivery notes from site teams and elevate to construction management where necessary.

The ideal candidate will be a team player, personable and welcoming, with the ability to keep calm under pressure. You will be self-motivated, able to work unsupervised using your own initiative, and have excellent organisational skills to meet deadlines under time pressures. Experience working in a similar role, in an office environment, and excellent customer service skills are essential for this role as you will need to develop and maintain good working relationships with colleagues. Additionally, you will have excellent written and verbal communication skills and excellent IT skills, being proficient in Microsoft packages.
