CAKE Architecture is hiring a studio manager to join its team in London. CAKE is an architecture, interiors and design studio based in Dalston, East London, working across several different sectors, including hospitality, retail, residential, festival/music work, wellness, events and more.
We are seeking someone proactive and adaptable to assess our current ways of working and help develop the office structures, systems and processes. The role is to be primarily studio-based, with the ideal candidate enjoying an energetic and dynamic studio environment with several fast-paced jobs typically in the studio.
The studio manager will be responsible for managing day-to-day studio operations, providing support on practice admin, finance, HR, PR and communications, and will assist with fee and bid development.
Responsibilities:- First point of contact for phone calls and visitors to the studio.
- Overseeing day-to-day operations, including posting, managing studio supplies, and maintaining the studio diary.
- Director-specific: coordinating and managing diary, including arranging internal and external meetings, appointments and video calls, providing reminders and time management support.
- Assisting the financial director, including processing receipts/expenses, assisting in generating invoices, and preparing weekly reports on project-based resource and forecasting.
- Assisting in managing the work pipeline.
- Assisting with fee proposals, pitches, grants, competitions, award submissions etc.
- Resource management, including reports and projections alongside project leads and directors.
- Monitoring timesheets and leave requests.
- Taking meeting notes and following up with actions of all internal & client meetings where required.
- Managing CAKE's Instagram (including scheduling posts and cross-posting to LinkedIn etc.) and website updates.
- Managing communication with publications; distribution of press releases and project publication information.
- Acting as a first point of contact for HR matters.
- Assisting with onboarding and off-boarding of all employees.
- Contributing to a positive and supportive working environment.
- Organising reviews and feedback sessions for employees.
- Assisting with managing job adverts and applications.
- Organising studio outings and events.
- Supporting the personal and professional development of the team.
- Support with IT and software administration, liaising with external providers, and assisting with general technical troubleshooting.
- Developing current systems, policies and structures; exploring and implementing new systems as required (e.g. Monday, Trello, Notion etc.).
- Organising facility maintenance.
- Strong knowledge of GSuite programmes (Docs, Sheets etc.).
- Strong people skills and the ability to communicate effectively and efficiently across all levels.
- Proactive attitude and hands-on approach.
- Efficient and highly organised.
- Experience in client-facing roles.
- Experience in administration.
- Excellent written and spoken English.
- Right to work in the UK.
- Adobe InDesign, and the wider Creative Cloud package.
- Experience with FreshProjects would be a bonus.
