The Quality / Health & Safety Coordinator will support the organisation in maintaining high standards of health, safety, operational compliance and quality assurance across all areas of Cairngorm Mountain operations. The postholder will lead the administration, development and continuous improvement of the organisation’s Integrated Management System (IMS), ensuring procedures, SOPs, compliance records and operational documentation are effectively maintained and controlled. Working closely with the H&S Manager and operational teams, the role will support compliance monitoring, reporting requirements and continual improvement initiatives across the business. The role requires a highly organised individual with excellent attention to detail and strong IT capability, including experience using SharePoint and digital document management systems. Ensuring information remains accurate, current and audit-ready is a key part of the position. The organisation welcomes candidates with strong quality improvement, compliance or integrated management systems experience who are looking to further develop their health & safety knowledge and qualifications within the role. This position is permanent, part-time position (3 days per week) with an annual salary of £37,131 pro rata. Closing date for applications is Friday 26 June 2026.

Roles and Responsibilities

  • Integrated Management System (IMS) & Compliance: Manage and maintain the organisation’s Integrated Management System (IMS). Support the ongoing development and improvement of digital compliance and document control systems, including SharePoint. Maintain procedures, SOPs, forms, audit records and operational documentation within the IMS. Coordinate document control processes, including version control and scheduled reviews. Monitor system usage and support departments in maintaining compliance with company procedures. Produce compliance reports, management information and performance data as required. Ensure records and documentation remain accurate, up to date and audit ready.
  • Health & Safety Support: Support the implementation and continuous improvement of health and safety management systems. Work alongside the HSE Manager to promote a positive safety culture across the organisation. Provide support and guidance to managers and employees on company procedures and safe working practices. Assist operational departments in meeting legislative and company compliance requirements.
  • Risk Assessments, Audits & Inspections: Assist with the preparation and review of risk assessments and safe systems of work. Support workplace inspections, internal audits and compliance monitoring activities across operational areas. Monitor and track corrective actions and improvement measures. Maintain accurate records of inspections, audits and compliance activities. Support the recording and investigation of accidents, incidents and near misses. Maintain incident records and assist with reporting and trend analysis. Ensure reporting requirements are completed in line with company procedures and statutory obligations.
  • Training & Communication: Maintain training and competency records. Assist with H&S inductions, toolbox talks and safety communications. Support the development and distribution of operational procedures and guidance documents.
  • Administration & Reporting: Prepare reports, dashboards and KPI information for management teams. Support policy reviews and procedural updates. Ensure confidentiality, integrity and effective organisation of operational records and documentation.

Working Conditions: Combination of office-based and operational site work. Exposure to winter weather and mountain environments. Requirement to visit operational and outdoor areas across the mountain environment. Occasional weekend or out-of-hours support during operational incidents or peak periods.

Operational Scope: The role may support: Mountain and uplift operations, funicular railway interfaces, snowsports and outdoor activities, hospitality and retail operations, estates and ranger services, vehicle and plant operations, infrastructure and contractor projects, public and visitor safety management.

Person Specification

  • Experience Essential Qualifications: Full UK Driving Licence.
  • Desirable Qualifications: Health & Safety qualification such as NEBOSH General Certificate, IOSH Managing Safely or equivalent. IOSH Membership. Health & Safety qualifications are desirable rather than essential and may be supported and obtained in post for the right candidate.
  • Experience in a quality, compliance, document control, operational support or health & safety role. Experience managing Integrated Management Systems (IMS) or digital document control systems. Strong working knowledge of SharePoint and other IT-based reporting or document management platforms. Experience maintaining records, procedures and compliance documentation. Experience producing reports and managing operational data with a high level of accuracy. Strong organisational and administrative skills with excellent attention to detail. Good IT literacy, including Microsoft Office applications. Experience working in operational or customer-facing environments. Experience supporting health & safety or compliance functions. Experience supporting audits, inspections and continuous improvement activities. Experience within tourism, outdoor operations, estates, infrastructure, construction, engineering or public operations environments. Experience working in remote or weather-affected environments. Environmental or quality management experience.
