We're looking for a highly organised and proactive

Fleet Sales Administrator to join our busy Sales team at Eastbourne Audi.

This is an excellent opportunity for someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in delivering exceptional administrative support and customer service.

As a key member of the Sales department, you'll play an essential role in supporting the Fleet Sales team, ensuring vehicle orders are processed accurately, deliveries are coordinated efficiently, and customers receive a first-class experience from order through to handover.

The Role

Working closely with the Market Area Agency & Corporate Sales Manager (ACSM), Sales team, Head Office and manufacturer partners, you will be responsible for the administration of new fleet vehicle sales and maintaining accurate records throughout the sales process.

Key responsibilities include

  • Providing administrative support to the Fleet Sales Manager and Sales team.
  • Processing vehicle orders, invoicing and taxation to ensure vehicles are ready for customer delivery.
  • Coordinating vehicle deliveries with customers, brokers and delivery agents.
  • Maintaining accurate sales records, stock records and sales deal files.
  • Booking vehicles for pre-delivery inspections (PDIs) and service work where required.
  • Completing and submitting manufacturer and Head Office documentation accurately and within required timescales.
  • Processing self-billing and RAV invoices.
  • Maintaining accurate records within the Go Lease CRM system.
  • Carrying out Experian and due diligence checks in line with company policies and Trading Standards requirements.
  • Assisting with vehicle transfers and stock administration.
  • Providing weekly order status updates to brokers and direct customers.
  • Responding to customer and broker enquiries professionally and efficiently.
  • Supporting colleagues across the wider sales administration team when required.

About You

We're looking for someone who is organised, customer-focused and able to manage multiple priorities while maintaining exceptional attention to detail.

  • GCSE (or equivalent) in English and Maths.
  • Strong administration and organisational skills.
  • Good knowledge of Microsoft Word, Excel and general computer systems.
  • Excellent communication skills, both written and verbal.
  • Professional and confident telephone manner.
  • Ability to work independently using initiative.
  • Strong attention to detail and a high level of accuracy.
  • Ability to prioritise workloads and meet deadlines.
  • Team player with a flexible and proactive approach.
  • Calm and professional under pressure.
  • Ability to build positive working relationships with colleagues, customers and external partners.
  • Experience within the automotive industry.
  • AFRL training.
  • NVQ/SVQ Level 2 or 3 in Customer Service.
