An exciting opportunity has arisen for a Travel Coordinator to join The Cadillac Formula 1® Team, reporting directly to the Travel Manager. This role will be responsible for arranging, coordinating, and managing comprehensive travel itineraries for team members based in both the UK and the US. The Travel Coordinator will ensure seamless end-to-end travel logistics, including the booking and management of flights, accommodations, ground transportation, car hire, and visa requirements. The position plays a critical role in supporting the team’s operational efficiency by ensuring all travel is organized accurately, cost-effectively, and in line with the demands of a high-performance environment.
- Arrange and manage travel itineraries for Team Members based in the UK and the US, including flights, accommodations, ground transportation, car hire, and visas.
- Ensure all travel arrangements comply with company policies and approved budgets including keeping detailed records of travel arrangements and expenses.
- Manage all traveling Team Members’ profiles, ensuring personal data is kept up to date, including loyalty cards, frequent flyer details, and visa information.
- Manage all traveling Team Members’ passports and renewal and visas as required for Grand Prix and ad hoc business travel.
- Arrange all international driving permits as required for primary and secondary drivers of the traveling team.
- Be responsible for all associated administrative tasks related to approved travel requests, including hotel, flight, and credit card reconciliations, processing purchase requisitions, and invoices.
- Provide out-of-hours contact, as and when required, for all travel arranged by the role.
Requirements:
- Proven experience managing travel arrangements in a fast-paced environment.
- Strong organizational skills with the ability to work independently while prioritizing tasks effectively.
- Effective time management skills, with the ability to manage multiple tasks and shifting priorities while maintaining meticulous attention to detail.
- Strong interpersonal skills and the ability to communicate effectively at all levels, with a clear commitment to delivering excellent service.
- Demonstrated ability to work well under pressure, consistently meet deadlines, and apply strong problem-solving skills.
- Ability to work effectively both independently and as part of a team.
- Experience of Sabre or similar GDS platform.
- Previous experience in Formula 1® or another sports team.
