- Event Programming Assistant

C21Media, an international publishing and events business serving the global entertainment industry, is looking for a fixed term Programming Assistant to manage the speaker liaison process and provide administrative support to the programming team in the run-up to Content London 2026 and Content Americas 2027.
This autonomous administrative role requires excellent organisational, communication and interpersonal skills, along with strong time management and the ability to manage conflicting priorities and deadlines.
The successful candidate will be a confident communicator, comfortable providing regular updates to the team, joining internal and external calls, and dealing professionally with senior TV executives, producers and on‑screen talent.
This is a demanding role for a smart, articulate and highly organised person with a positive, proactive attitude.
We're looking for someone who is genuinely interested in the television, content and media business, enjoys learning how the industry works, and is keen to contribute beyond the core administrative responsibilities.
An interest in marketing, social media and content creation would also be an advantage.
- Reporting to the Programming Director, the role includes, but is not limited to:
- Managing communications for more than 300 high‑profile speakers and moderators.
- Chasing and coordinating headshots and biographies.
- Editing biographies to house style and resizing photographs where required.
- Proactively updating the event website, agenda and speaker CMS with speaker and moderator information.
- Preparing and proofreading HTML newsletters.
- Staying on top of speaker‑related changes, communicating updates to the wider team and ensuring all relevant documents are kept up to date.
- Maintaining contact lists and call sheets.
- Updating multiple databases and spreadsheets with accurate, up‑to‑date speaker, agenda and session information.
- Cross‑checking data to ensure accuracy and quality control.
- Coordinating speaker and moderator travel and accommodation where required.
- Joining internal planning meetings and external speaker calls where appropriate, taking notes and following up on actions.
- Welcoming speakers and moderators and managing the speaker desk during live events.
- Working closely with the speaker liaison team on site to ensure speakers arrive on time and are fully prepared for conference sessions, C21TV interviews and podcast recordings.
- Supporting the programming team with quality control across all conference content.
- Assisting the events and programming teams with ad hoc projects and administrative support.
- Be proactive in terms of identifying ways to streamline and improve processes.
