Overview

We are recruiting on behalf of our client for a Tenant Liaison Assistant to join their team on a temporary basis. This role is vital in supporting tenants during planned works, assisting the Building Services team, and ensuring communication between residents, contractors, and project teams runs smoothly.

Key Responsibilities

  • Monitor all response repairs, keeping tenants updated on progress and maintaining strong communication to reduce failure demand.
  • Support Repairs Schedulers by tracking repairs from initial report through to completion, ensuring accurate records are kept.
  • Schedule and administer repairs and servicing using Dynamic Resource Scheduling (DRS) in line with policy and procedure.
  • Contact tenants ahead of appointments, resolve queries, and record outcomes to minimise missed visits.
  • Report any repairs not completed within agreed timescales, escalating to the Senior Scheduler where required.
  • Gather tenant feedback, monitor performance, and provide regular reports on service quality.
  • Investigate and respond to tenant complaints in line with company procedures.
  • Maintain accurate records and update housing systems (e.g. Lagan, I/World) to ensure service awareness.
  • Undertake any other reasonable duties as required.

About You

  • Proven administration and clerical background with reception, switchboard, and telephone skills.
  • Strong customer service experience with excellent written and verbal communication.
  • Confident user of Microsoft Office (Word, Excel, Access) with relevant IT/word-processing qualifications.
  • Strong organisational skills with the ability to manage workload methodically and meet deadlines.
  • Self-motivated, flexible, and able to work independently or as part of a team.
  • Ability to deliver high-quality work under pressure in a busy environment.
  • Capable of providing excellent customer care in a polite and diplomatic manner.
