The Opportunity
We are partnering with a global financial services organisation to recruit an experienced Personal Assistant to join their London-based Executive Support team on a 12‑month fixed-term contract. This high‑impact role supports three senior leaders, requiring exceptional diary management, discretion, and the ability to operate confidently within a regulated, fast‑paced environment.
Key Responsibilities
- Comprehensive diary management for senior leaders, including proactive scheduling, prioritisation, preparation time, task reminders and deadline management
- Managing communications on behalf of senior stakeholders, including meetings, calls and inbox coordination
- Liaising with senior internal and external stakeholders, including regulators, brokers and clients
- Full executive secretarial support, including travel management, expenses, invoices, document preparation and administrative coordination
- Supporting meeting logistics, including agenda preparation, papers, minute‑taking and action tracking
- Preparing presentations and reports (PowerPoint‑heavy), including board and committee materials
- Supporting team and company‑wide events
Skills & Experience Required
- Proven experience as a Personal Assistant supporting senior executives within a large, complex organisation
- Demonstrable experience managing complex diaries across multiple time zones
- Strong communication skills with sound judgement, diplomacy and discretion
- Advanced skills in Microsoft Word, PowerPoint and Excel
- Highly organised, proactive and detail‑oriented, with the ability to manage competing priorities
- Calm under pressure and adaptable in a constantly changing environment
- Confident building relationships at Executive level, internally and externally
- Comfortable working within regulated environments and handling sensitive information
