PURPOSE OF JOB:

(OVERALL DESCRIPTION OF THE POST WITHIN THE TEAM AND ORGANISATION)

  • To coordinate and support the day to day running of the Services Operations workload
  • Confidently manage service operations processes end-end, from quote through to invoice.
  • Liaising effectively with sales, BDMs and suppliers and various other internal departments

KEY RESPONSIBILITIES:

  • Help manage the incoming queries in the mailboxes
  • Build relationships and liaise effectively with internal and external departments /stakeholders.
  • Processing of service orders, ensuring orders are tagged with the relevant coding for company taxonomy.
  • Create and assign job numbers to PMO’s and track/monitor progress to coordinate reconciliation of monthly billing, as well as closing job numbers.
  • Portal Administration
  • Product & Contract Renewal Management
  • Managing invoicing from suppliers and onto our customers
  • Managing and tracking FLEX order processing
  • Using systems to track, forecast and report
  • Posting timesheets
  • Amending orders on the system
  • Complete monthly tasks such as outstanding orders.
  • Maintenance of team spreadsheets
  • Ensure customers are billed correctly and efficiently each month
  • Understand and use different systems daily to complete team tasks
  • Understand other services order processes and cover for all other areas of the team where A/L is taken or in case of sickness.
