The Quality Assurance (QA) & Regulatory team is responsible for ensuring that all products meet regulatory, safety, and quality standards prior to production. They oversee the technical and compliance aspects of product development to ensure that formulas, packaging, raw materials, and claims are legally compliant, safe for consumers, and aligned with company quality standards.

Reporting to the Head of QA & Regulatory, the QA & Regulatory Assistant plays a key role in supporting the QA & Regulatory team to ensure that all products meet all applicable regulatory, safety and quality requirements, across multiple retailers and jurisdictions. Collaborating closely with internal teams and external suppliers to obtain product data, maintain documentation, manage and track regulatory updates, review product information and support business goals by facilitating clear communication to help drive timely and compliant product launches.

  • Regulatory & Compliance Management
  • Ensure proactive learning to stay updated on changes in relevant regulations, industry standards and guidelines.
  • Assist in the collation of new product documentation to create new Product Information Files (PIF), to ensure all products comply with applicable cosmetic regulations e.g., UK & EU Cosmetics Regulation (EC) No. 1223/2009 and other global regulations where applicable.
  • Review all PIF documents and maintain them to ensure product claims, ingredient listings, packaging and labelling all comply with the applicable regulations on a regular basis.
  • Collaborate and communicate with the Responsible Person for product assessments.
  • Manage and maintain the day-to-day use of compliance records, trackers and regulatory databases. Ensuring all information is accurate, complete and up to date.
  • Manage and maintain existing product accreditations when due for renewal.
  • Escalate to Head of QA & Regulatory any regulatory concerns when required.
  • Pre-Production Quality Assurance
    • Review all vendor documentation to ensure they are fully qualified to manufacture new products.
    • Support Product Development to ensure all raw materials are ethically sourced and comply with internal and external compliance requirements.
    • Complete and support product registration and notification processes.
    • Manage and complete all compliance project checklists and trackers to ensure all regulatory work is completed before handover to Supply Chain.
  • Technical Documentation & Testing
    • Review all documentation provided from Product Development and track the continuation of formula and pack testing to ensure they meet the approved product specifications.
    • Collate and review all product consumer facing copy, to ensure compliance with labelling requirements.
    • Review all product testing results upon completion and escalate any concerns when required.
    • Support the creation and maintenance of department SOPs, quality and compliance documentation.
  • Cross-Functional Collaboration
    • Collaborate with Product Development to ensure any developments are in line with regulatory and quality requirements.
    • Collaborate with Product Development, Design, VM and Marketing to confirm claims and artwork are compliant.
    • Manage and maintain all working relationships with external vendors and agencies.
    • Manage and maintain communication with internal and external stakeholders invested in product testing.
  • Risk Management & Continuous Improvement
    • Identify and escalate any risks related to product safety, compliance or quality issues.
    • Assist in regulatory research and track regulatory changes within the QA & Regulatory team.
    • Assist in internal audits to identify compliance with company policies and processes and/or areas of improvement.
    • Lead and support continuous improvement initiatives to strengthen compliance and product quality, including the monitoring and closing of any corrective and preventative actions.

    What we're looking for:

    • Highly organised with strong attention to detail; you enjoy keeping information accurate, structured and up to date.
    • Naturally collaborative and confident communicating with different teams (Innovation, Quality, Supply Chain) as well as external suppliers.
    • Curious and eager to learn, with a genuine interest in how regulatory compliance supports safe, successful product launches.
    • Comfortable working with data, spreadsheets and documentation systems (Excel proficiency beneficial).
    • Proactive mindset, you don’t wait to be asked; you track progress, follow up and keep things moving.
    • Able to manage multiple priorities in a fast-paced, high-growth environment without losing sight of the detail.
    • Clear written communicator, able to review product information and ensure documentation is consistent and compliant.

    Desirable, but not essential:

    • Relevant degree (e.g. science, regulatory, business, or similar) desirable but not essential.
    • Internship, placement or previous admin experience in product, compliance, supply chain or operations advantageous but not required.
    • Knowledge of cosmetic regulations.
    • Experience in compliance, regulatory affairs, or quality assurance.
    • Experience in cosmetics, pharmaceutical or FMCG industry.
