Department: Aftersales Department - Passenger Cars
Report To: Head of Aftersales
Work Location: Uxbridge, England, UB8 1DH (Fully Office-based)
Job Responsibilities
- Executive Support: Manage the Head of Aftersales’ diary, prioritising meetings, handling scheduling conflicts, and ensuring all preparatory materials are ready for daily appointments.
- Inter-departmental Coordination: Act as the primary point of contact for all after-sales departments. Facilitate communication to ensure workflow efficiency and resolve administrative bottlenecks between teams.
- Reporting & Data Consolidation: Collect and consolidate performance data from various departments to produce comprehensive monthly, quarterly, and annual reports.
- Meeting Management: Organise departmental meetings, prepare agendas, and take minutes. Follow up on action items to ensure team tasks are completed on time.
- Document Control: Maintain an organised digital filing system for service contracts, warranties, and departmental policies.
Job Requirements
- Communication Excellence: Exceptional verbal and written communication skills. Comfortable interacting with everyone from frontline technicians to senior stakeholders.
- Presentation Mastery: Highly proficient in creating visually compelling and professional presentations (PowerPoint/Keynote) that tell a story with data.
- Technical Literacy: Solid knowledge of Excel. Comfortable with basic formulas (e.g., VLOOKUP, SUMIF, Pivot Tables) to clean and organise data.
- Attention to Detail: A sharp eye for accuracy; ensuring that reports are error-free before they reach the Head of Aftersales.
- Multitasking Ability: Proven ability to manage multiple deadlines in a fast-paced environment without losing composure.
- Carry out any other reasonable task instructed by the Head of Aftersales.
