Job Scope Overview:
- Tender Process: Review all tender documents thoroughly and liaise with the Estimating Director, Estimators, and the Project Team to clarify tender requirements.
- Arrange and attend Tender Strategy meetings with the Bid Team to discuss project requirements, strategy, and timeline.
- Maintain accurate records of all tender documentation throughout the process, including reviewing and distributing Tender Addendums.
- Analyze competitors involved in the project to better understand the market landscape.
- Coordinate and carry out site visits for the Bid Team, including relevant sub-contractors, ensuring all necessary documentation and site assessments are completed.
- Ensure on-site discussions are held with the Building Manager and relevant parties, documenting all key information with photos.
- Communicate regularly with the Professional Team to address any queries and identify key tender issues.
- Identify opportunities for alternative solutions, value engineering, and cost-effective pricing, including statutory fees and plant requirements.
- Liaise with sub-contractors and the Bid Team to ensure comprehensive and compliant tender packages are issued. Maintain contact throughout the tender process to secure competitive pricing.
- Review all sub-contractor returns, ensuring like-for-like comparisons and identifying exclusions or qualifications.
- Assist with sending out Terms & Conditions (T&Cs) to external consultants and provide necessary feedback to the Estimating Director.
- Be involved in the tender adjudication process, ensuring a competitive and compliant tender is submitted.
- Prepare detailed Technical and Commercial Proposal submissions, working closely with the Bid Team and Estimating Assistant to ensure timely completion.
Site & Pre-Tender Activities:
- Conduct site visits to assess access, logistics, and any potential challenges, providing detailed site reports.
- Raise any tender queries with the consultants, ensuring all information is received and reviewed promptly.
- Coordinate the collection of addendum information from sub-contractors and share with the relevant parties.
- Compile the preliminaries book with input from the production team to ensure appropriate staffing levels and resources are factored into the pricing.
Tender Finalization:
- Analyze and review all received quotations, preparing summary reports and ensuring full compliance with health & safety obligations in pricing.
- Collaborate with the Estimating Director and Commercial Director to finalize the tender price and ensure alignment with project requirements.
- Prepare a list of tender clarifications and submit the final tender on time, ensuring that all details are accurate and fully compliant.
