We are currently recruiting for a Coordinator to bring additional organisation and support to the Creative Services team. Reporting directly to the Head of Creative Services, the successful candidate will be responsible for document and library updates/maintenance, managing new information, assisting with photoshoots, bespoke and template design work, assisting with PQQs, plus other administrative tasks.
Job Scope
The successful candidate will assist in the preparation of tender proposal and pre-qualification documentation for the Pre-Construction team; duties will include, but not be limited to the following:
- Liaising with new starters, retrieving information to ensure CV libraries are kept up-to-date at all times.
- Liaising with project teams obtaining, preparing and completing project information, organised in the tender and PQQ libraries with excellent accuracy and attention to detail.
- Updating/Maintaining staff information contained within Bid Design’s spreadsheets.
- Ensuring all documentation is 100% correct; proof read, spell checked and consistent, in standard company format, as approved by the Head of Creative Design.
- Ensuring forms/questionnaires are completed on time, and worked on to the administrator’s own initiative as much as possible, gaining assistance from relevant members of the company where appropriate with adequate time to complete.
- Time management across all workload and ensuring 100% record of meeting deadlines, without fail.
- Actively liaising with the bid designers to agree their needs/documentation for tender interview/presentation documents and be actively involved in their preparation.
- Assist with maintaining all libraries kept within bid design, such as BW CVs, BW Previous Projects and BW Project Photographs.
Candidate Profile
The successful candidate must be able to demonstrate the personal qualities, values and attitudes which are so important to the business and to the role:
- InDesign skills required, other CS skills preferred but not essential.
- You must demonstrate outstanding attention to detail with excellence in written communication to ensure the highest possible standards of grammar and accuracy are achieved at all times and IT skills including Word, Outlook and Excel as a minimum.
- You must possess excellent organisational skills, with high standards of support.
- You will also be a strong, proactive team player with the ability to multi-task and prioritise whilst showing support, encouragement and excellent organisational skills to ensure that deadlines are adhered to.
- You must be able to work on your own as well as in a team with the confidence to ask questions, challenge the status quo and be willing to learn every day.
