Job Overview
We are currently seeking a highly organized and proactive Office Manager & Executive Assistant to join our dynamic team. This dual-role position is integral to maintaining smooth day-to-day office operations while providing high-level administrative support to our senior executives. The ideal candidate will be a proactive problem-solver with exceptional communication skills and a keen attention to detail. This role comes with great power to build a productive and efficient workspace, as well as to oversee daily office operations. Key Responsibilities
- Executive Assistant Duties:
- Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Prepare presentations, reports, and documents on behalf of executives.
- Coordinate internal and external meetings, including logistics and agendas.
- Act as a liaison between executives and internal/external stakeholders.
- Handle confidential information with discretion and professionalism.
- Other ad hoc administration duties as required.
- Oversee day-to-day office operations to ensure a productive and well-organized workspace.
- Manage relationships with vendors, service providers, and building management.
- Monitor office supplies and place orders as needed.
- Welcome visitors to the office.
- Coordinate onboarding and offboarding processes for London-based staff.
- Support company events, team meetings, and office initiatives.
- Ensure compliance with health and safety regulations in the office.
Your Profile
- Minimum 5 years of experience as an Executive Assistant, Office Manager, or similar role.
- Experience working in an international company.
- Bachelor’s degree or equivalent.
- Native or fluent English speaker.
- Strong organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Strong ability to multitask.
- Friendly and upbeat demeanor.
- Enjoy working in a fast-paced environment; ability to adapt quickly to changing demands.
- High level of discretion and professionalism in handling sensitive information.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and digital collaboration tools (e.g., Zoom, Google Meet).
- Ability to work independently and take initiative in a dynamic environment.
