Team Overview
Our Private Client team consists of around 35 team members and 4 partners – each with their own specialism. The core of the work focuses on providing clear and practical advice to high-net-worth individuals and their families in the UK and abroad. Assessing the opportunities available to our clients, by helping to structure their affairs to minimise their tax liability and preserve their property for future generations.
Role Overview
To provide daily, flexible, proactive administrative and secretarial/PA support to all members of the Private Client Team, thereby contributing to the efficiency of the team and services provided to clients.
What You’ll Be Doing
- Assist the Senior Administration Manager and one other PA/Administrator to provide administrative support to the Private Client team.
- Be proactive in the team’s administration, taking on ad hoc projects as required and actively looking for areas to improve the support provided to the wider team by the administration team.
- Take on projects as required by the Senior Administration Manager and complete in a timely manner.
- Assist looking after the admin inbox, the central area for all admin jobs received from team.
- Provide cover in the absence of other administrators.
- Set up new clients in a timely manner and help collate the client identification and anti-money laundering documentation on our provided software.
- Draft letters of engagement for new clients.
- Draft letters and emails for review.
- Assist the Team with their administration requirements; produce documents from a variety of sources in the style and layout required by their authors or as required to comply with the firm’s standards.
- Ensure all documents produced are free from typographical errors and are grammatically correct.
- Allocate the post; scanning client documents if required.
- Assist the Senior Administration Manager in organising Partners’ or members of the team’s diaries, making appointments as appropriate including checking equipment if required.
- Ensure the Private Client Team telephone system is appropriately covered at all times, escalating to the Senior Administration Manager where necessary.
- Assist the other PA/Administrator to ensure the team's Tax Return E-Filing is executed promptly and correctly especially in time for the 31 January deadline.
- Assist with drafting fees (when requested) and zero bills for review.
- Respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding passwords) are complied with.
What We’re Looking For
- GCSEs (x5) including English at A - C grade, or equivalent
- Good use of English grammar
- Strong organisational skills; research and analysis skills
- Excellent interpersonal communication skills in order to liaise with people at all levels
- Intermediate MS Office including Excel, Word, PowerPoint and Outlook
