Team Overview

Our Charity and Not-for-Profit team is one of the largest single office charity teams in the UK, with more than 140 audit specialists. We work with a diverse range of charities and NFP’s including membership bodies, dynamic social enterprises, international NGOs, Arts and Culture charities, academies, colleges and universities, care homes, religious orders and more, making this a truly varied opportunity.

Role Overview

To provide daily, flexible, proactive administrative support across the Charity team.

What You’ll Be Doing

  • Assist the Administration Senior Manager to provide administrative support to the Charity team, including updating Practice Engine (PE), creating bills and helping with projects.
  • Overseeing and assisting with the Admin Inbox, dealing with all tasks such as account amends, formatting documents, dealing with incoming post and other ad-hoc queries.
  • Keep tracking logs updated such as the Tender spreadsheet, Client lists, Circit spreadsheet and APD spreadsheet.
  • Ensure that all work undertaken is produced within agreed timescales, escalating to the Administration Senior Manager where necessary.
  • Produce accounts and management reports, which include financial statements, in a timely manner, within agreed timescales, escalating to the Administration Senior Manager where necessary.
  • Proactively manage the admin inbox calendar ensure meeting rooms are booked and action on meeting requests and booking training sessions.
  • Support all members of the Charity team and provide admin assistance as necessary.
  • Deal with any ad hoc reporting, as required.
  • To be responsible for administration projects, as required by the Administration Senior Manager.
  • To provide support to the PAs especially during busy periods and provide PA cover during holidays and absences.
  • To ensure the administration team has adequate cover at all times.
  • Work with the Administration Senior Manager to ensure team members’ diaries are kept up to date at all times.
  • Respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding passwords) are complied with.
  • Take an interest in the operation of the Charity team to be aware of current work being dealt with by team members.

What We’re Looking For

  • Demonstrable experience as an Administrator in a similar environment.
  • Previous PA experience is beneficial.
  • Type at a speed of 50wpm min, but accuracy is more important.
  • Good use of English grammar.
  • Attention to detail; strong organisational skills.
  • Excellent interpersonal communication skills to be able to communicate with people at all levels.
  • GCSEs including A-C English and Maths, or equivalent.
  • Experience working in a professional services firm.
  • Advanced Word, Intermediate Excel, PowerPoint, Outlook.
