This role sits within our Professional Support team, a people-focused and service-driven team responsible for ensuring our London office environment meets the needs of our c.600 colleagues. From greeting clients to managing facilities, the team ensures our workplace is safe, efficient, and welcoming.
Role Overview
We are looking for a Client Services Assistant on a 10 month fixed term basis to support our front of house team. You will gain exposure to a wide range of responsibilities, while developing valuable skills in customer service, administration, and events. Due to the nature of event support, there will, at times, be the requirement to work outside of normal business hours. This opportunity is ideal for someone who is approachable, service-oriented and pro-active, with a natural enthusiasm for helping others and creating a positive workplace experience.
What you will be doing
- Serve as the first point of contact for clients and visitors, greeting them with a professional and friendly manner.
- Manage incoming calls, ensuring inquiries are handled efficiently and discreetly.
- Coordinate meeting room bookings, ensuring seamless scheduling, booking confirmations, and room setup.
- Support the organisation of client meetings, events and presentations.
- Coordinate with the hospitality team to ensure catering requirements are met.
- Undertake regular checks to ensure the reception and meeting rooms are maintained to a high standard.
- Assist the Client Services Senior Manager and the Marketing Team with events.
- Handle general administrative duties, such as booking couriers and taxis, maintaining spreadsheets and updating the reception manual.

- Excellent organisational skills with good attention to detail, by maintaining accuracy across all duties, in particular events, and administrative duties.
- Ability to multi-task varying responsibilities.
- Excellent communication skills, with a professional and confident phone manner, and a pro-active can-do attitude.
- Experience in a professional services or corporate office environment.
- Able to work flexibly and as part of a team.
- Skilled in MS office suite, including Outlook, Word, Excel and Teams, with a willingness to learn new software as and when required.
