We are looking for

Executive Support Coordinator who would like to help us reach our mission to “earn customer loyalty and drive business growth by providing consistently excellent service”.

This is a fixed term position up to 12 months.

Purpose of this role

To provide high-quality and professional administrative and logistical support to the Executive Office.

Responsible for coordinating complex travel arrangements, managing executive diaries, and ensuring the efficient day-to-day administration of the Executive Office.

  • Your Key Responsibilities Are
  • Coordinate travel arrangements for senior executives; book accommodation and transport, ensuring efficient and effective travel arrangements are in place.
  • Prepare detailed travel packs, including itineraries, meeting details, and contingency planning.
  • Assist to provide solutions when travel changes, cancellations, or urgent re‑routing is required.
  • Provide day-to-day administrative support to the Executive Assistant and executive team.
  • Assist with diary coordination, meeting scheduling, and room bookings.
  • Prepare agendas, papers, and meeting materials.
  • Manage expenses, invoices, and purchase orders.
  • Liaise professionally with senior leaders, Board members, and external stakeholders if required.
  • Support improvements to executive office processes and templates.
  • Maintain organised digital and physical filing systems.
  • Ensure materials for meetings are received in a timely manner.
  • Assist with management of actions from meetings.
  • Assist with filing of executive’s email inboxes.
  • Assist with ad‑hoc projects and administrative tasks.

Qualifications

  • Minimum of four GCSE’s or equivalent including Maths and English.

Experience/Knowledge

  • Proven experience in an administrative and coordination role.
  • Experience organising meetings, events or business travel.
  • Experience supporting senior managers or leadership teams.
  • Abilities/Skills
  • Strong organisational skills and attention to detail.
  • Ability to plan and meet deadlines and ability to manage multiple priorities in a fast‑pace environment.
  • Excellent communication skills (written and verbal).
  • Proficient in Microsoft Office.
  • Ability to work quickly and efficiently, particularly at times of high pressure.
  • Proactive, reliable, and solutions‑focused.
  • Ability to handle confidential or sensitive information with discretion.

Desirable

  • A Levels.
  • Experience in a CEO or executive office environment.
  • Experience in a large corporate or regulated organisation.
  • Familiarity with travel arranging.
