This is a broad, hands-on role covering all aspects of property accounting, including rent and service charge accounting, maintenance expenditure, VAT, reconciliations, financial reporting and the accurate processing of transactions through the movement/payment gateway.

Key Responsibilities

  • Manage rent accounting, including rent demands, receipts, arrears and tenant account reconciliations.
  • Process and reconcile all incoming and outgoing funds through the movement/payment gateway.
  • Ensure the accurate allocation and transfer of rent, deposits, fees and other property-related transactions.
  • Prepare monthly management accounts and financial reports for property owners and senior management.
  • Manage all property-related accounts payable and accounts receivable activity.
  • Review, process and reconcile maintenance, contractor and supplier expenditure.
  • Ensure maintenance costs are correctly authorised, coded and allocated to the appropriate property or landlord.
  • Complete bank, balance sheet, tenant ledger and control account reconciliations.
  • Prepare and submit VAT returns, ensuring the correct treatment of residential and commercial property transactions.
  • Monitor cash flow and ensure sufficient funds are available to meet property-related commitments.
  • Support rent reviews, lease events, tenant changes, property acquisitions and disposals from an accounting perspective.
  • Liaise with property managers, landlords, tenants, contractors and external advisers regarding financial matters.
  • Maintain strong financial controls and ensure compliance with relevant legislation, client money requirements and internal procedures.
  • Identify and implement improvements to property accounting processes, systems and reporting.

Essential Experience

  • Recent and demonstrable property accounting experience gained within a property management company.
  • Direct experience managing the accounts for a portfolio containing both residential and commercial rental properties.
  • Strong knowledge of rent accounting, maintenance expenditure, service charges and property-related financial transactions.
  • Practical experience of VAT within a property environment, including the differing treatment of residential and commercial properties.

Person Specification

  • Hands-on, organised and comfortable taking ownership of an all-encompassing property accounting role.
  • Commercially aware and able to understand the financial performance of individual properties and the wider portfolio.
  • Proactive and solutions-focused, with strong problem-solving skills.
  • Able to manage competing deadlines and maintain accuracy across a busy portfolio.
  • Confident communicating financial information to both finance and non-finance stakeholders.
  • Committed to maintaining accurate records, robust controls and high standards of compliance.
