The Advising Office Coordinator will greet customers into the Academic Advising center, both in person and by telephone, determine needed service and direct them appropriately, perform secretarial duties for Director of Academic Advising, maintain the budget for the Academic Advising department and supervise student workers at front counter area.
This position also provides cross-departmental support to multiple offices housed in BOA , including Career Services, Admissions, Enrollment and Retention Coaches, High School and Testing. This includes front-desk operations and facilitating communication between departments to enhance student services.

Required knowledge and skills
A. Excellent public relations and organizational skills as it relates to the public and internal personnel. May be the first point of contact with the public, thus must maintain and project a positive image of Enrollment Management and BCC . Will maintain good overall knowledge of Butler Community College.
B. Ability to keep office information confidential is essential and with a high degree of accuracy.
C. Knowledge and ability to teach office procedures and secretarial skills.
D. Interpersonal ability to maintain working relationships with all college employees and students. Must be able to collaborate with other departments and ensure effective communication. Must be able to maintain a pleasant and professional working atmosphere and demonstrate a good working relationship with co-workers, public, and other departments and locations.
E. Computer literacy; familiar with Banner, Word, Excel and Windows and possess typing skills of 50 wpm.
F. Ability to lift and carry up to 25 pounds to process catalogs and other institutional printed materials.
G. Must be neat and clean and follow oral and written instructions accurately.
H. Must be able to concentrate on tasks in an environment which is constantly demanding attention to multiple tasks.
I. Ability to work as a team member to assist in the efficient operation of the entire department.
J.Ability to analyze student engagement data, survey results, and phone call tracking reports to provide actionable insights to the Director of Advising.
K.Ability to coordinate events,provide office process optimization, cross-department collaborations, and space management
Required experience
Supervisory and administrative experience required.
Required educational background
High School diploma or equivalent required; Associate’s degree preferred.
