The UK Structures Knowledge Coordinator will provide support to the UK Structures Knowledge Manager, helping with their day-to-day tasks and projects and assist with delivery of discipline specific learning and development strategy.
Your next role:
- Arrange, attend, and take minutes, including follow-up action points with attendees for internal meetings
- Create, update, and maintain discipline and community SharePoint sites
- Arrange training courses as directed by UK Structures Technical lead in collaboration with KM consultant
- Assist the KM Consultant with the development, delivery and administration of internal training courses
- Video editing and SharePoint publication of training course material
- Assist with running training sessions for new graduates
- Arrange catering and technical requirements for training sessions (ensure IT is on hand, etc.)
- Responsible for taking and recording training session attendance lists
- Coordinate training with external speakers
- Keep internal SharePoint site up-to-date as directed by UK Structures Technical lead in collaboration with KM consultant
- General ad-hoc admin duties
- Ensure adherence to the administration side of our QMS
- Ensure that common systems and templates are set up and that any problems are communicated to IT Support
Your skills and experience:
- Excellent computer and IT skills including; Word, Excel, PowerPoint, SharePoint and Teams
- Experience of setting up and maintaining administrative procedures
- Experience of maintaining quality management systems
- Good communication skills
- Confident, proactive character, with the ability to take the lead in challenging situations and problem solve
- Must be adaptable and open to change
- High level of attention to detail
- Experience of working with all levels of seniority
- Solid foundation of office experience
- Working to multiple deadlines
- Experience of supporting large teams and working across offices
- Experience of supporting a team of people as well as working on a one-to-one basis
- Able to work to deadlines and alerts senior staff in good time if it looks as though things might be delayed
- Seeks a clear brief for own work and understands own responsibilities
- Proactively engages with other team members and tries to be helpful in all dealings with internal and external clients, suppliers and other stakeholders
- Design and creation of KM resources using Adobe InDesign
- Communicating digitally, verbally and face to face with colleagues/trainers to support the organisation and delivery of internal training courses/resources
