Lead Group Coordinator

This person can be based in London on a hybrid working model.

About the Role

The Lead Group Coordinator will provide essential support to engineering teams and take overall responsibility for the administration and coordination of team resources. Working directly with the Engineering and Office Support Lead, the successful candidate will champion high standards of service, foster development across the support team, and ensure administrative processes are efficient and compliant with company quality standards.

Key Responsibilities

  • Direct line management of Group Coordinators and Administrative Assistants, including overseeing performance, conducting career development reviews, and providing training using Buro Happold’s specialized materials.
  • Organise and facilitate team activities, ensure resource allocation, and liaise with HR and other leads for recruitment and onboarding processes.
  • Coordinate multidisciplinary reports, manage documentation according to brand guidelines, and support engineers in completing timesheets and presentations for meetings.
  • Arrange internal and client meetings, take minutes, and follow up on action points.
  • Organise team events, CPDs, and support business travel arrangements.
  • Oversee effective onboarding for new starters in collaboration with Welcome Coordinators and maintain team SharePoint pages.
  • Encourage self‑development of team members through the use of company learning resources.

What We Are Looking For

  • Previous experience in administration, preferably in the engineering or design sector, with experience in leading teams or mentoring junior staff members.
  • Excellent IT skills, including proficiency in Word, PowerPoint, and Excel; experience with InDesign, Photoshop and Illustrator is desirable (training provided).
  • Outstanding written and verbal communication skills, with the ability to interact confidently with key stakeholders.
  • A proactive, adaptable, and resilient attitude with strong problem‑solving skills and the ability to work independently or as part of a team.
  • Ability to manage workloads and prioritise tasks effectively in a fast‑paced environment.
