Job Description
The Role.
Responsible for managing the facilities and maintaining the restaurants, warehouse and the head office. Providing support to all sites on a day-to-day basis to ensure sites are safe and equipment is works to allow the sites to operate. Working with all management staff to ensure all sites can open for service and are maintained to an acceptable level for both staff and customers. Work with the operations team to ensure smooth running of all areas of the business. Arrange and organising all works and servicing to ensure the restaurants are compliant and can run as efficiently as possible. Liaising with contractors, sub-contractors, landlords and the site alike to ensure works are carried out as safely and quickly as possible at a high standard. Attend site visits to review general condition of the sites and communicate with teams on ongoing items. Liaise with the health and safety officer to ensure the company is compliant with all H&S procedures.
Duties & Responsibilities.
- Providing support for the site management with their day-to-day maintenance needs.
- Attending site visits as required, meet with General Managers, Head Chefs, Bar Managers, and Operations team to ensure sites are maintained and operational.
- Maintain, oversee and manager Pronett system (Access Maintain online portal). Raise and release call outs, raise and approve quote requests, review, and approve works. Query any incomplete or incorrectly completed works.
- Chase and follow up with contractors for updates, reports, and remedial works.
- Review and approve job reports and certificates. Action any remedial works.
- Producing and overseeing the maintenance schedule (odd jobs list on the maintenance portal – Pronett) to cover smaller jobs sites need completing.
- Maintain Pronett’s – Preventative Maintenance Visits (PMV) jobs. Arranging servicing (PPM visits) for all sites to ensure we are compliant with H&S regulations. Chasing reports, reviewing, and approving them. Querying where necessary.
- Ensure all contractors public and product liability insurance certificates are up to date and uploaded on Pronett.
- Check Risk assessments and Method Statements to cover works on sites, keeping managers informed and updated on works. Provide or submit PTW (permit to work) document as required with the landlords where hazard works or hot works are required.
- Plan, organise and oversee mini projects required on sites.
- Reviewing insurance cover for each site when renewal due – (with the company’s insurance broker).
- Review the End-of-Night Reports (EON) on daily bases and the running of the day-to-day tasks that needs to be actioned. Assisting site where and when necessary.
- Overseeing the Core Estate and Operations spreadsheet, ensuring it is kept up to date
- Collect utilities meter readings on a monthly bases and uploading/submitting to the suppliers portals as required. Reviewing usage and charges, challenging where required.
- Reviewing rents and Service Charge invoices, ensure in line with budgets.
- Reviewing Service Change budgets per site and end of year statements. Chase for credits on any overpayments. Challenge incorrect information provided in the landlord’s SC budgets.
- Creating and updating Reactive maintenance and Planned Preventative Maintenance (PMV) budgets.
- Review PPM’s costs, tender contracts out as required.
- Paying annual licence fees – premises, pavement, etc.
- Overseeing business rates.
- Renewal and update of licences (table and chairs and music) and DPS updates.
- Reviewing and improving waste charges and collections. Arrange site clearance.
- Booking in access/ parking for works to take place.
- Main point of contact between site and landlord/ acting agent.
- Review all Fire Risk Assessments and action all remedial works as required.
- Be involved in new site openings.

- Meticulous attention to detail.
- To be strong in order tackle changing issues, and possess the confidence to hold individuals accountable to deadlines.
- Hands on – involved and present in the detail.
- Proficient knowledge in Microsoft Outlook, Microsoft Office products and Access Maintain (Pronett) is required.
