The Shipping and Customs Officer supports project and operational activities by managing shipping, transport, and customs clearance processes in compliance with international regulations, company procedures, and contractual requirements. The role ensures timely, cost-effective, and compliant movement of materials across international borders, contributing to overall project delivery and supply chain efficiency.
Key Responsibilities
- Coordinate and manage shipping and customs activities for project and operational materials, from post-order phase through final delivery.
- Ensure compliance with international transport laws, customs legislation, and port (air and sea) regulations, including documentation and archiving requirements.
- Manage and monitor customs documentation, declarations, tariffs, VAT, and movement reference numbers in accordance with local and international laws.
- Coordinate with internal teams, freight forwarders, shipping companies, and customs brokers to ensure smooth execution of transport and clearance activities.
- Support post-order material management, including expediting, quality control during manufacturing, packing, transportation, customs clearance, and delivery.
- Plan and coordinate shipping activities, including out-of-gauge cargo and dangerous goods, in line with applicable regulations (IATA, IMO, road permits, heavy lift operations).
- Prepare and manage shipping-related documentation and progress reports, ensuring accurate tracking and reporting of logistics activities.
- Support the preparation of transport service tenders, including technical documentation, bid evaluations, and selection of optimal transport strategies.
- Monitor and control transport contracts and budgets, ensuring adherence to agreed commercial and contractual terms, including INCOTERMS.
- Operate in full compliance with company processes, procedures, governance, and HSE requirements, contributing to continuous improvement initiatives.
Required Skills and Knowledge
- Knowledge of international shipping, transport methodologies, and customs legislation.
- Understanding of port operations and related documentation for air and sea freight.
- Experience in shipping and customs coordination and planning, including progress reporting.
- Knowledge of transport service contracts, INCOTERMS, and chartering/shipping terms.
- Understanding of purchasing processes and post-order supply chain activities.
- Familiarity with contractual terms and conditions.
- Awareness of company HSE management systems, relevant legislation, and international standards (e.g. ISO 14001).
- Ability to work in compliance with internal procedures, governance, and regulatory requirements.
