The Document Controller is responsible for managing, controlling, and monitoring project documentation throughout the full project lifecycle. The role ensures that all project documents are properly registered, updated, distributed, and archived in accordance with contractual requirements, company procedures, and project control standards, supporting effective communication, reporting, and decision‑making.

Key Responsibilities

  • Manage the document control process for projects, ensuring accurate registration, revision control, distribution, and archiving of documentation.
  • Configure and administer the Electronic Document Management System (EDMS) in line with project contractual requirements, Work Breakdown Structure (WBS), and progress measurement criteria.
  • Ensure project documentation complies with contractual, procedural, and governance requirements.
  • Monitor document status, progress, and deliverables, producing reports and dashboards to support project control and management activities.
  • Support project planning and control processes by providing accurate document‑related data for progress measurement, S‑curves, and performance indicators.
  • Interface with project teams, engineering, procurement, construction, and clients to ensure timely information flow and document alignment.
  • Support management of change (MOC) processes by ensuring document updates reflect approved changes and revisions.
  • Contribute to project analysis and reporting, identifying deviations, trends, and improvement opportunities.
  • Promote effective use of the EDMS within the project team and contribute to continuous improvement of document control practices.
  • Ensure proper close‑out and handover of project documentation in line with company and contractual requirements.

Required Skills and Knowledge

  • Strong knowledge of document control principles and project information management.
  • Proven experience with Electronic Document Management Systems (EDMS), including configuration, reporting, and data analysis.
  • Understanding of project control processes, planning, progress measurement, and reporting methodologies.
  • Knowledge of business process principles and how project sub‑processes are interconnected.
  • Familiarity with change management and its impact on documentation and project controls.
  • Ability to analyse contractual documentation requirements and translate them into EDMS configurations.
  • Good communication skills to interface with internal and external stakeholders.
  • Aware of company processes, procedures, and governance frameworks.
