Job Purpose

To coordinate all appointed administration functions of the transport operation with support from Fleet Services GB, Group Head of Fleet and the site operations teams. The position is the focal point for the provision, use and safety of vehicles and their operators. Ensuring that all functions related to the legislation of the operator licence are met and procedures, processes and instructions are followed.

Specific Tasks / Responsibilities

  • Interrogate Samsara daily to identify from the safety inbox trigger events.
  • From Samsara trigger events, start the coaching process and record progress.
  • Escalate to the Group Head of Fleet staff that are not adhering and improving by using the coaching process.
  • Manage the fuel card account, ensure staff are adhering to the policy and the requisition is completed.
  • Liaise daily with site ops teams to collect queries and concerns.
  • Collate weekly reports for the Group Head of Fleet and monthly board reports for the MD.
  • Issue to Fleet Services GB order numbers for SMR costs.
  • Monitor the daily walk around check being carried out and report on non-conformances.
  • Monitor with Fleet GB vehicle on/off hire requests.
  • Collate and issue to site operations Fnols related to their fleet.
  • Monitor and file weekly driver sheets and liaise with site operations for missing sheets.
  • Monitor and file service and inspection sheets (PMI) and liaise with Fleet Services GB for any missing inspection sheets.
  • Complete and manage PMI wallchart.
  • O Licence - Requisitioning of discs/liaison with Group Head of Fleet.
  • Monitor compliance of O/L with Group Head of Fleet Assistance.
  • Vehicle tax/MOT compliance checks in line with Fleet Services GB.
  • Other duties as instructed by the Group Head of Fleet.

Typical Skills / Experience

  • A background in infrastructure and traffic management would be desirable.
  • Standard national road transport CPC desirable or working towards obtaining.
  • Ability to accommodate flexible working patterns.
  • Clean driving licence is desirable.
  • The need to occasionally travel by agreement.

Hours of Work: Full time, Monday to Friday 08:30-17:00 with 30mins for lunch (40hrs per week).
