Your new role
Our client is seeking a proactive and detail-oriented Document Controller to spearhead the implementation and management of a new document management system across multiple live projects. You will be responsible for maintaining accurate and compliant project documentation, ensuring workflows are followed, and supporting internal teams, subcontractors, and clients to maintain the highest standards of document control.
Responsibilities
- Leading the rollout and management of a new document management system, including uploading, issuing, and tracking live and approved drawings across multiple projects
- Collaborating with senior management to develop and implement a standardised drawing numbering convention and ensuring consistent use across internal teams, subcontractors, and clients
- Ensuring all drawings and documents are correctly uploaded, fully checked for compliance, and subjected to robust proofing processes
- Maintaining full document lifecycle tracking, including revisions, approvals, and real-time updates
- Utilising various document management platforms such as Procore, The Box, and SharePoint to maintain consistency and control across projects
- Delivering comprehensive training sessions for internal staff, external consultants, and clients to ensure smooth onboarding and effective use of Procore
- Leading weekly and fortnightly coordination meetings with Project Managers to verify that current and approved drawings are issued and accessible to all stakeholders
- Preparing detailed reports via Procore, including project progress, compliance documentation, and professional weekly/monthly site reports for clients and internal teams
What you will need to succeed
- Proven experience as a Document Controller or in a similar role within construction, fit-out, or a related sector
- Strong experience with document management systems, particularly Procore, SharePoint, or similar platforms
- Excellent attention to detail and organisational skills
- Ability to develop and enforce consistent documentation standards across multiple projects
- Strong communication skills for coordinating with project teams, subcontractors, and clients
- Experience producing reports and managing document workflows
- A proactive and solutions-driven mindset, able to work independently and manage priorities
