About the Role
We're a busy, established scaffolding contractor looking for an organised and proactive Office & Operations Coordinator to join our team at our Chafford Hundred office. Scaffolding is a fast-paced, deadline-driven industry. You'll be the glue holding the yard, the office, and the sites together, keeping our operatives, vehicles, and projects running like clockwork. If you're a natural multi-tasker who thrives on structure, enjoys problem-solving, and wants to be part of a hands-on, no-nonsense construction environment, we'd love to hear from you.
What You'll Be Doing
- Office & Communications
- Handling daily calls, emails and customer/client queries
- Preparing and distributing daily team sheets, job packs and site notes
- Confirming jobs with customers and notifying site operatives
- Processing pricing enquiries, quotations and chasing outstanding quotes
- Scheduling & Labour
- Planning and routing daily work schedules for site operatives
- Allocating operatives to jobs and maintaining labour grids
- Monitoring staff availability, annual leave and licence expiry dates
- Maintaining fortnightly labour availability records and agency timesheets
- Fleet & Compliance
- Maintaining driver hours records and ensuring legal compliance
- Coordinating vehicle servicing, maintenance, repairs and cleanliness reporting
- Monitoring vehicle movements, fuel usage and fuel documentation
- Arranging pre-drive checks, site sign-ins and inductions
- Site & Equipment Coordination
- Managing hired equipment - allocations, extensions, off-hires and returns
- Booking parking permits, site deliveries and logistics
- Scheduling inspections, sign-off appointments and off hiring site alarms
- Conducting daily yard checks and maintaining yard records
- Systems & Admin
- Updating company systems and project management portals
- Maintaining rental, sign-off and quotation trackers
- Filing delivery notes, contractor logs, toolbox talks and inspection reports
- Uploading site photographs and organising project folders
- Completing weekly project returns, invoice checks and deduction processing
- General office administration and operational support as required
What We're Looking For
- Previous experience in an office coordination, scheduling, or operations role (construction, scaffolding, or trades background highly desirable)
- Excellent organisational skills and the ability to juggle multiple priorities
- Strong communication skills, comfortable liaising with site teams, drivers and clients
- Confident using spreadsheets and office/project management systems
- A proactive, calm under pressure approach
