Role Description:
We are looking for an experienced, highly organised and proactive Operations Administrator to provide support with the smooth running of our operational set up.
Working closely with the Head Of Operations you will be responsible for providing a high level of support and organisation of all daily tasks covering multiple areas such as fleet, premises, print production and distribution.
The successful candidate will be someone who thrives on being at the heart of organisation, supporting leadership, improving processes and being pivotal to the smooth running of business operations.
This role requires you to be at the studio in NW10.
What You’ll be Doing:
- Provide operational and administrative support to the Head of Operations
- Monitor shared mailboxes, responding to routine queries and escalating matters where appropriate.
- Keeping systems and documentation up to date and accurate.
- Procurement of general supplies and purchases
- Liaising with suppliers ensuring accuracy and relevant follow up actions.
- Administration of fleet servicing and maintenance schedules
- Processing of road charging and driver penalties
- Onboarding and offboarding of drivers and vehicles
- Administration of ad-hoc vehicle rentals
- Maintenance of records for vehicles and drivers
- Administration of waste handling collections
- Maintaining and reporting from third party supplier systems
- Maintaining warehouse operations stock and catering supplies
- Reporting and escalating to the warehouse and fleet operations managers
Support and training will be provided.
About You:
- Proven experience in a similar role
- Experience using Microsoft Office Software (Excel, Outlook, Word, etc)
- Clear written and verbal communication
- Excellent numerical skills
- Excellent organisational skills with the ability to manage multiple deadlines
- Strong time management and problem-solving abilities, with keen attention to detail
