Our client is looking for an Office Administrator who is available to start immediately and join their team on a temporary basis. This role will provide additional administrative support during a particularly busy period, helping to ensure smooth day-to-day operations
The successful candidate will provide efficient and effective administrative support across a range of office functions. Responsibilities will include supporting the day-to-day operations of the business, diary management, arranging training bookings, organising refreshments, managing stationery orders, helping to maintain a clean, safe, and well-organised office environment, and updating key business records and trackers
KEY RESPONSIBLITIES:
- Provide professional and efficient administrative support to the business, ensuring the smooth day-to-day running of the office.
- Manage diaries, meeting requests and room bookings, coordinating appointments and schedules as required.
- Arrange training courses, maintain training records and support the coordination of employee development activities.
- Organise refreshments for meetings, including lunches, teas and coffees, and support the preparation of meeting rooms when required.
- Order and maintain office stationery, kitchen supplies and other office consumables, ensuring stock levels are monitored and replenished.
- Help maintain a clean, safe and well-organised office environment, reporting any maintenance or health and safety concerns promptly.
- Greet visitors, contractors and clients in a professional and welcoming manner, ensuring company procedures are followed.
- Answer and direct telephone calls, manage shared inboxes where required, and respond to enquiries in a timely and professional manner.
- Maintain accurate business records, databases, filing systems and administrative trackers, ensuring information is kept up to date.
- Prepare correspondence, documents, reports and presentations as requested.
- Support project teams and senior management with general administrative tasks and coordination activities.
- Assist with the coordination of company meetings, events and office activities.
- Ensure all documentation is handled confidentially and in accordance with company policies and data protection requirements.
- Undertake any other reasonable administrative duties appropriate to the role, as directed by management.
EXPERIENCE:
- Excellent administration and communication skills.
- Strong computer literacy especially in MS applications
- Highly organised
- A team player who can multi task
