As the Facilities Supervisor, you will assist in the FM with the operation and maintenance of building systems, services, and equipment which support the core activities of the organisation. You will be hands-on to ensure the day-to-day upkeep of the London facility, manage daily issues and preventative maintenance, whilst ensuring compliance with Buhler H&S, Quality, and Environmental standards.
This is where you'll excel:
- Ensure proactively the site is always maintained and presented to the highest standards.
- Act as first responder to Helpdesk requests & emergencies, resolving them in a timely manner, by identifying solutions & using your own skill set, or calling on other in-house or external service providers.
- Manage quotations and purchase orders for remedial works, liaising with and monitoring the work of contractors and submitting for approval.
- Manage the performance of the onsite contractors, cleaning, pest control, canteen, security and vending contractors.
- Using software, ensure all planned maintenance work is completed on time, to QEHS standards, and within budget; and record all Helpdesk requests, and update the head of facilities with progress reports weekly.
- Attain a working knowledge of the sites security, fire safety, BMS and other operational systems.
- Familiarity with, and practice safe use of, the organisation's mobile elevating work platforms ('cherry picker' and 'scissor lift').
- Maintain a proactive and professional relationship with colleagues, internal customers, and visitors, reporting any incident that may adversely affect delivery and customer satisfaction.
- Carry out Portable Appliance Testing as and when required.
- Set up furniture configurations as required for seminars and meetings.
- Attend regular meetings with line manager and health and safety team to discuss any issues or concerns and collaborate with other UK locations on facilities matters.
These are the skills you'll need:
- Level 3 qualification in facilities management or demonstrable experience in a facilities role at supervisor level (multi-site experience beneficial).
- Health and safety training, IOSH managing safely or similar, Working at Height.
- Time and personal management skills, prioritising objectives and workload, and working to deadlines dictated by commitments. Be flexible with working hours at short notice to suit contractor visits, emergencies, and for out of hours works when needed.
- Excellent communication skills and ability to build and maintain strong working relationships with a variety of stakeholders.
- Extensive experience managing the maintenance contracts for the facility.
- Familiarity with simple HVAC, LEV, Boiler systems; and ability to demonstrate a basic electrical competency, having a practical and hands-on approach to problem solving and issue resolution.
- Good understanding of H&S Laws and regulations and the requirements associated within office and manufacturing activities (e.g. RAMS, PTW's, contractor control).
- Sound working knowledge of MS Office products (Word, Excel, Outlook) and be able to gain competency in using BMS & maintenance software.
- Demonstrate and strive for continuous improvement both in yourself and what you do, by being keen to develop yourself with training that is offered, identifying potential issues before they are reported by others, and seeking high quality, timely, and cost-effective solutions.
Desirable:
- Understanding of environmental issues & sustainability within a commercial or industrial setting.
- BTEC HND or degree in facilities management.
- NEBOSH National General Certificate.
- IPAF License.
- Member of British Institute of Facilities Management (BIFM) or Institute of Workplace and Facilities Management (IWFM) or similar.
