What Does the Role Entail? As our Office Administrator, you’ll be the backbone of our operations, ensuring that our office runs smoothly and efficiently. You’ll work closely with our COO and the wider team, taking on a variety of tasks that will keep your day interesting and dynamic. Your typical day will include:
- Client Interaction: Communicate directly with clients about relevant matters, maintain regular updates, and ensure all necessary paperwork is completed for client onboarding. Keep the legal team informed of any urgent issues, and schedule meetings as needed.
- Front Office Management: Greet clients, visitors, and vendors, ensuring they are attended to promptly and professionally. Handle incoming calls, emails, and mail, directing them to the appropriate personnel and managing them independently. Use DocuSign to manage client documentation and signatures efficiently.
- Scheduling and Calendar Management: Coordinate meetings, appointments, and conference calls for our legal and management teams. Manage the firm’s master calendar, ensuring all deadlines, court dates, and client meetings are accurately tracked.
- Office Operations: Maintain office supplies and equipment, arranging repairs and orders as needed. Oversee the maintenance of a clean, organised, and professional office environment.
- Document Management: Organise, file, and retrieve legal documents, both physical and electronic. Draft covering letters, prepare, proofread, and format legal documents, correspondence, and reports. Ensure compliance with legal record-keeping and confidentiality standards.
- Human Resources Support: Assist with the onboarding process for new hires, including setting up workstations and coordinating training. Maintain personnel records and assist with HR-related inquiries.
- Technology Coordination: Assist with IT support to resolve technical issues and ensure all software is up-to-date. Support the implementation of new technology solutions and improvements.
- Event Coordination: Plan and coordinate internal events and training sessions. Assist with planning and executing external events, including logistics for seminars, workshops, and webinars.
