This is a permanent full-time position working 37.5 hours per week, Monday to Friday, 09:00 – 17:30, with a one-hour lunch break each day. This role would suit someone with experience in a customer-facing environment who is confident communicating with people, enjoys building strong working relationships, and is comfortable working in a busy, professional setting where attention to detail and consistency matter.
As a Client Services Associate, you will be a key part of how clients experience Buckles from the very first interaction. Acting as the first point of contact for many enquiries, you will support new business requests, guide clients through the onboarding process, and work closely with legal and compliance teams to ensure matters are handled smoothly, accurately, and professionally from start to finish. In this role, you will develop a strong understanding of the firm and its services while playing an important part in delivering a consistently high standard of service to clients and colleagues alike.
Key Responsibilities
- Client Engagement & Administration
- Serve as the first point of contact for new and returning clients, managing enquiries and supporting the initial engagement process.
- Build and maintain strong relationships with clients, delivering a consistently high level of service.
- Coordinate daily appointment schedules and support the smooth flow of documents and information across the firm.
- Handle web enquiries, ensuring new matters are directed to the appropriate teams and processed within agreed service standards.
- Monitor and progress new enquiries to ensure clients receive a timely and seamless service.
- Client Services & Compliance
- Conduct initial consultations, complete conflict checks, and gather accurate information before arranging meetings.
- Guide clients through the onboarding process, including collecting Know Your Client documentation and supporting paperwork.
- Complete file opening procedures for designated departments, ensuring accuracy and attention to detail.
- Review client documentation to ensure compliance with regulatory and Anti-Money Laundering requirements.
- Work closely with the Compliance team to ensure adherence to firm policies and regulatory obligations.
- Data Management & Process Improvement
- Accurately capture and maintain client data within the firm’s systems.
- Develop a strong understanding of client service processes and identify opportunities to improve efficiency and service delivery.
- Contribute ideas and suggestions to continuously enhance the client experience.

We are looking for someone who is professional, proactive, and passionate about delivering outstanding client service. You will be confident communicating with a wide range of people, highly organised, and able to manage multiple priorities effectively. You will also have:
- Proven experience delivering a high standard of customer service.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- The ability to multitask and manage competing priorities effectively.
- Strong IT skills, including Microsoft Office applications.
- Experience using CRM or case management systems would be advantageous.
