Provides a full Telephonist / Receptionist service by directing callers and visitors to appropriate personnel in the firm by the use of a computerised telephone system to answer incoming calls and by performing the following duties:
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Manages the firm's in/out board to ensure details are kept up to date.
- Answers questions about the organisation and provides callers with address, directions, and other information.
- Welcomes visitors, determines nature of business, and announces visitors to appropriate personnel.
- Ensures all visitors are made aware of the site's no smoking policy and health and safety regulations.
- Maintains the Reception area to a high standard and ensures that all deliveries have been removed from the reception area and that all fire doors remain clear.
- Monitors the CCTV system.
- Organises the use of Couriers for collections and/or deliveries including ensuring appropriate paperwork is completed.
- Organises the Firms meeting rooms daily and ensures that they are ready for occupation, controlling their booking through the reception diary.
- Ensures that meeting rooms are tidied and prepared after each meeting and that dishes are washed and replenished in preparation for the next meeting.
- Types documents, letters, faxes etc. to help secretarial staff on an ad hoc basis. Audio typing would be an advantage but not essential.
- Performs other clerical duties as needed, such as filing, photocopying, and faxing information.
The above list is not exhaustive and the Receptionist will be expected to be flexible and carry out other related duties at the request of his/her Supervisor and/or Manager.
