We are seeking an individual to provide administrative support to the Estates Team on a fixed-term 12-month maternity cover basis. This role will assist in the day-to-day management of the Group’s property portfolio, ensuring accurate record keeping, supporting compliance requirements, and helping to coordinate estate-related activity across the business.

Key responsibilities include:

  • Maintain and update estate records, including lease data, compliance information, site documentation and key contact details, ensuring all records are accurate and up to date.
  • Monitor compliance schedules, ensuring statutory and contractual deadlines are tracked, flagged and actioned as required.
  • Support invoice processing activities, including uploading, checking accuracy and liaising with Finance to resolve queries in a timely manner.
  • Coordinate effectively with internal stakeholders (e.g. Finance, HR, IT) and external suppliers to support the delivery of estate services.
  • Assist with property lifecycle activity, including office moves, onboarding of new premises and exit processes, ensuring smooth transitions.
  • Respond to internal data requests and produce or maintain accurate records and reports to support business needs.
  • Maintain asset registers and support the tracking of estate-related information across multiple systems.
  • Assist in maintaining and updating internal communications relating to estate activity and updates.
  • Provide general administrative support to the Estates Team, including handling ad hoc queries and ensuring a high standard of service delivery.

The successful candidate will:

  • Be highly organised with strong attention to detail.
  • Demonstrate good communication skills and the ability to work with a range of stakeholders.
  • Be adaptable, proactive and willing to learn new systems and processes.
  • Be able to manage multiple tasks and prioritise effectively.
  • Previous experience in administration is essential; experience in property, estates or a related area would be advantageous but is not required.
