Job overview

We are seeking an enthusiastic, organised and proactive Medical Secretary to provide comprehensive secretarial and administrative support to the Consultant Psychiatrist and wider medical team within our Psychiatric Intensive Care Unit (PICU).

This is a rewarding opportunity to work within a specialist inpatient mental health service supporting individuals with complex and acute mental health needs. The role is integral to the smooth running of the medical service and offers the chance to work closely with consultants, doctors, multidisciplinary colleagues, patients and carers.

Main duties of the job

As Medical Secretary, you will be responsible for delivering a high-quality secretarial service to the medical team, ensuring the timely production and management of clinical correspondence, reports and documentation. You will act as a key point of contact for internal and external stakeholders and play a vital role in supporting effective communication across the service.

A key aspect of the role is attending weekly Multidisciplinary Team (MDT) meetings, where you will accurately document discussions, clinical decisions, actions and outcomes, ensuring records are produced in a timely and professional manner.

Your duties will include:

  • Providing comprehensive secretarial support to the Consultant Psychiatrist and medical team.
  • Attending MDT meetings and Ward Rounds and producing accurate notes and action records.
  • Typing and processing clinical correspondence, reports, discharge summaries and referral letters.
  • Liaising with ward staff, community teams, GPs, carers and external agencies.
  • Maintaining patient records and ensuring information is accurately recorded on Trust systems.
  • Responding to enquiries from internal and external stakeholders in a professional and confidential manner.
  • Supporting the administration of Mental Health Act documentation, tribunal reports and other statutory processes as required.
  • Ensuring all work is completed in line with information governance and confidentiality standards.
