The predicted salary is between 13988 - 13988 £ per year.
The Communities Administrator will provide comprehensive administrative support across the Communities service, ensuring accurate record keeping, data entry and efficient administrative processes to support frontline delivery. Working closely with the Data and Administration Lead and operational teams, the postholder will maintain client records, coordinate referrals, support programme administration and contribute to effective reporting and monitoring. The role will help ensure services operate efficiently and meet organisational, contractual and funder requirements.
Main Duties and Responsibilities:
- Provide administrative support across all Communities programmes and services.
- Maintain accurate client records using Advice Pro and other organisational systems.
- Input, update and maintain client information, ensuring records are accurate, complete and recorded in a timely manner.
- Process referrals, registrations, consent forms and programme documentation.
- Support the administration of training courses, community programmes and events, including bookings, attendance records, registers and evaluation paperwork.
- Prepare correspondence, reports, meeting papers and other documentation as required.
- Assist with the preparation of monitoring information, performance reports and funder returns.
- Maintain electronic and paper filing systems in accordance with GDPR and organisational procedures.
- Respond to telephone, email and face-to-face enquiries, directing requests to the appropriate staff member where necessary.
- Support diary management, meeting coordination and room bookings.
- Order and maintain office supplies, resources and programme materials.
- Work closely with delivery staff to ensure administrative processes effectively support frontline service delivery.
- Assist with maintaining programme trackers, spreadsheets and performance information.
- Identify opportunities to improve administrative processes and contribute to continuous improvement.
- Undertake any other administrative duties appropriate to the role.
Essential Criteria:
- GCSE Grade C/Level 2 (or equivalent) in English and Mathematics (or Essential Skills Level 2 equivalents).
- At least one years experience in an administrative or office support role.
- Experience maintaining accurate records and databases.
- Experience providing administrative support within a busy environment.
Desirable Criteria:
- Relevant qualification in Business Administration, Administration, Customer Service or a related discipline.
- Experience working within the charity, community or public sector.
- Experience supporting programmes, projects or events.
- Experience using AdvicePro or similar case management systems.
