Brunswick is seeking a reliable and organized Personal Assistant. The ideal candidate is detail-oriented, proactive, and comfortable handling a variety of clerical and coordination tasks in a fast-paced office environment. This is a 9-month fixed-term contract role, based 3 days per week in our London office.
About the Role
Your day-to-day responsibilities will include but are not limited to:
- Provide seamless Executive Assistant support to 3 or 4 Partners including managing complex calendars and providing strategic administrative support to increase efficiencies and productivity of the Partners.
- Take a proactive approach to identify and solve potential challenges related to scheduling, travel, and other daily activities before they arise.
- Understand and prioritise Partners’ time to ensure they are well positioned and supported to focus on their goals; remain flexible to adjust as needed.
- Build strong rapport with client contacts for scheduling and coordination of client meetings.
- Manage timesheets in Dynamics and ensure timely submission and follow up.
- Arrange travel including flight and hotel bookings, visa applications, ground transfers, and liaise with colleagues in local offices of travel destinations to ensure a seamless travel experience.
- Work closely with the Global Support Manager and Team Assistant to support the Sustainable Business practice.
- Provide support and coverage to the Global Support Manager and Team Assistant as needed.
- Build strong rapport with the other assistants across the firm.
What We're Looking For
- At least 12 months’ experience in an office environment.
- Excellent administrative skills with a high level of organisation and accuracy.
- Exceptional at diary management, confidently coordinating complex schedules and competing priorities with precision and discretion.
- Proactive and self-sufficient, with the ability to multi-task, prioritise effectively and work independently.
- Excellent attention to detail and consistently high standards of work.
- A trusted team player who works collaboratively across functions and supports the wider team with confidence and good judgement.
- Highly proficient in Microsoft Office, including Word, Excel, PowerPoint and Outlook.
- Strong relationship-builder, able to engage effectively with colleagues and clients at all levels, both internally and externally.
- Demonstrates initiative and a willingness to take ownership and engage proactively.
- Excellent written and verbal communication skills.
