We are hiring a Team Assistant to join our Legal Support Property team at Browne Jacobson in Manchester. The role provides administrative and file management support across the team. Work will come either directly from the fee earner or through the work allocated by the Practice Assistants. The is accountable for establishing and maintaining an ongoing service-based relationship with the team they support, recognising and translating the needs and expectations into a responsive service.
Responsibilities
- Liaise with PAs to support client & marketing scheduling, tender meetings, directory interviews, client training and related activities.
- Enter, maintain and update Interaction records, adding new prospects, clients, contacts and business development information.
- Ensure current knowledge of client‑specific protocols and processes, integrating them into current practices.
- File management – update, maintain and correctly name all files, both electronic and paper, according to business‑wide naming convention and folder structure.
- Open and close files, set up cases in the relevant case management system and undertake all closing/archiving procedures to remain compliant.
- Assist the PA with internal and external events, seminars and conferences: arrange registers, book travel, print/send materials and organise give‑aways.
- Order promotional goods and maintain stock levels.
- Book rooms, taxis, organise hand deliveries and courier requests; handle ad‑hoc requests.
- Print, copy, scan documents for high‑volume jobs as appropriate.
- Communicate with team members to ensure workloads are balanced and deadlines are met.
- Answer internal calls and liaise with PAs and Practice Support Managers for direction.
- Assist with billing and expense reporting.
- Create and upload information to client data rooms following lawyer and PA instructions.
- Produce court bundles in line with lawyer instructions and court rules, and coordinate delivery.
- Check client and internal data for accuracy.
- Ensure compliance with firm‑wide and departmental policies, including Lexcel and Information Security.
- File post, emails and client correspondence in the document management system.
- Attend team meetings and keep service users updated on progress.
- Maintain open communication with fee earners and practice assistants on work requirements.
- Consistently offer assistance wherever possible.
