Meaningful Work From Day One
We’re looking for an Office Manager who can create a seamless, positive experience for everyone in the office - employees, visitors, and clients. This role blends day‑to‑day office management with front‑of‑house responsibilities and HR coordination support. You’ll be the go‑to person for keeping the office running smoothly, representing us at Reception, and supporting our people administration. This is a 12 month fixed term contract.
What You Can Expect
- Office Administration
- Maintain Health & Safety standards, ensuring all equipment is tested and compliant.
- Coordinate Fire Wardens and First Aiders so they remain trained and fully equipped.
- Serve as the main point of contact for security personnel and liaise with Risk Management and relevant Head Office teams based in Louisville on security matters.
- Ensure the office environment and facilities are maintained to a high standard.
- Own relationships with the landlord, facilities vendors, and suppliers to ensure a safe, productive, and efficient workspace.
- Review supplier contracts and pricing regularly to ensure value for money.
- Own office budgets, including the processing of all related POs and invoices.
- HR Administration
- Manage the relationship with our Fleet Management service, ensuring accurate and timely employee and payroll information.
- Process all HR‑related POs and invoices.
- Ensure all new starters receive a warm welcome, including an office tour and a smooth onboarding experience on day one.
- Help to bring our company culture to life by organising and coordinating all internal events, managing the internal events calendar, and leading “Culture Club”.
- Maintain digital employee files in accordance with local regulations and Brown-Forman record-keeping requirements, and operate with the utmost discretion and confidentiality.
- Reception
- Provide front‑of‑house services, including reception coverage Monday-Thursday between 10am-4pm.
- Greeting visitors, managing guest bookings, issuing access cards, arranging couriers/postage, supporting meeting‑room set‑up, and maintaining sample stock.
What You Bring to the Table
- Previous experience in an office management role.
- A welcoming front‑of‑house presence with strong customer‑service skills, strong communication skills, and high attention to detail.
- High degree of integrity with the ability to be objective, maintain confidentiality, and exercise sound judgment.
- Strong relationship‑building skills with the ability to work across all levels of the organisation.
- Excellent organisational skills, with the ability to prioritise, take ownership, and juggle multiple tasks or projects.
- A proactive approach with the ability to anticipate issues, problem‑solve, and make sound decisions (seeking approval where needed).
- Comfortable working independently in a fast‑paced, dynamic environment.

- Experience with Google Workspace (Gmail, Calendar, Docs, Sheets).
