We are looking for someone for a Fixed Term 12 Month Contract. The Head of RFP Operations and European Team Lead plays a pivotal role in driving operational excellence and differentiation across global Request for Proposal (RFP) and Due Diligence Questionnaire (DDQ) processes.

Reporting to the Global Head of RFP and Sales Enablement, and based in London, this position ensures consistency, efficiency, quality, and continuous innovation and differentiation in client-facing questionnaire and bid responses, while leading the European RFP team in London and Krakow. The role combines strategic oversight with hands-on leadership, balancing process innovation and optimisation with people management. It requires a strong ability to collaborate across regions, maintain rigorous standards, and innovate.

Key objectives include:

  • Global Operations Leadership: Strategic oversight of global DDQ and RFP technology, workflows, and processes, allowing delivery of the highest quality and compliant responses across all regions, positioning BBH’s services as differentiating in the market.
  • Regional Team Management: Lead and develop European RFP team members, fostering a culture of excellence and collaboration.
  • Technology Leadership: Own and optimise the technology platforms that support RFP/DDQ operations, including Qvidian and workflow tools, and integrating AI.
  • Process Innovation: Drive continuous improvement initiatives to enhance efficiency, scalability, and quality of BBH’s responses.
  • Direct Contribution to RFP/DDQ Delivery: Deliver high quality strategic responses to clients to support team workload.

Responsibilities include, but are not limited to:

  • Strategic Leadership and Excellence: Define and implement global DDQ/RFP operational strategy aligned with business objectives.
  • Enhance best practices and workflow to ensure processes are robust and consistent across regions.
  • Establish and track KPIs for operational performance and quality to deliver to senior management.
  • Act as a key advisor to senior leadership on process improvements.
  • Identify and implement automation opportunities and workflow enhancements.
  • RFP and DDQ Management: Oversee end-to-end RFP and DDQ processes, ensuring accuracy, timeliness, and high-quality submissions.
  • Analyse incoming questionnaires to determine products required, level of effort, necessary team involvement, and any bespoke requirements.
  • Lead and support strategic RFPs and DDQs for the team to support volumes.
  • Support the ongoing review and enhancement of Qvidian content.
  • Support team members with workloads to ensure all deadlines are met.
  • Technology platform leadership: Own Qvidian and Monday.com platforms for the global RFP Team.
  • Identify and implement new features in Qvidian and Monday.com to enhance user experience and reduce production time.
  • Drive innovation through automation and AI adoption, enhance user experience, and ensure systems are secure, scalable, and aligned with business needs.
  • Support technology upgrades and manage user licences, maintenance, and reconciliation.
  • Act as technical expert for Qvidian and Monday.com, including inquiry management and documentation.
  • Facilitate Risk and Compliance reviews of content within platforms.
  • Team Leadership: Manage European RFP team in London and establish a new team in Krakow, including resourcing and project allocation.
  • Engage regularly with globally based SMEs to strengthen relationships and gather feedback.
  • Identify strategies to improve quality and efficiency of RFP/RFI/DDQ processes.
  • Develop training plans, mentor team members, and ensure smooth handoffs across regions.
  • Foster a collaborative, high-performance culture aligned with global standards.

Relevant Experience:

  • BA or Equivalent
  • 10+ years of relevant RFP/Bid/Sales Enablement experience
  • Proven ability and experience in managing teams
  • Excellent collaboration and project management skills
  • Ability to thrive in a fast-paced environment on multiple projects with tight deadlines
  • Detail-oriented, analytical mindset, with strong written and verbal communication skills
  • An understanding of the asset servicing and asset management industries
  • Proficient in Office suite of products
  • Experience of Qvidian or other Proposal Automation tools is critical
  • Experience with Monday.com an advantage
  • Experience or interest in AI tools an advantage
